The Billing Administrative Assistant is responsible for billing support functions under the guidance and support of department leadership. The Billing Administrative Assistant is an integral part of the billing team and will perform a wide variety of tasks and deliver a high level of customer service, while consistently maintaining excellent work product.

Essential Duties and Responsibilities:

  • Perform tasks associated with client billing utilizing accounting software, some with close supervision and others that will require more detailed training and have minimal supervision once training is complete.

  • Monitor and distribute requests submitted to the general Billing Inbox, assuring assignments are equally shared across the team and responses are provided promptly and with a focus of strong client service.

  • Respond to ad-hoc matter level Alerts for the team, such as requests for specific administrative updates for client matter files within the existing systems.

  • Complete basic billing edits to current system information, such as adding Phase/Task codes to time entries and correcting client address information, to ensure the Billing Specialists can focus on resolution of more complex requests and overall accuracy of data within the system.

  • Support billing team with administrative tasks that will impact client billing.

  • Collaborate with resources inside and outside the firm as appropriate to complete billing projects or tasks.

  • Assist in fostering an environment of superior customer service, collaboration, commitment, and team spirit.

Knowledge, Skills and Abilities:

  • Demonstrate a willingness to learn and develop skills.

  • Demonstrate a "can do" attitude and initiative to assist on a variety of projects.

  • Demonstrate good communication skills with the ability to work professionally with internal and external clients.

  • Strong working knowledge of Microsoft Office Suite products including Word and Excel.

  • Ability to quickly learn and utilize sophisticated billing software.

  • Understanding of general accounting principles and practices.

  • Ability to manage multiple projects in a deadline driven environment.

  • Ability to use sound judgement and good discretion.

  • Demonstrate the ability to work independently and reliably as well as within a team environment.

  • Occasional overtime may be required.

Education and/or Experience:

  • Bachelors degree, or any combination of training, skills, and experience necessary to perform the responsibilities of the role.

  • Minimum of one (1) year of experience in an administrative support role.

  • Experience in a law firm preferred.

Hiring Salary Range:

$43,000.00 - $75,000.00
