Executive Administrative Assistant (Real Estate & Nonprofit Support for a Business Man and His Family)

Multi-Region Role | Fresno & San Diego, California • Detroit, Michigan • San Jose, Costa Rica

We are seeking a highly organized, discreet, and driven Executive Administrative Assistant to support a fast‑paced CEO with a number of business ventures and nonprofits with which he is currently involved, the main one being a dynamic real estate brokerage team. This unique role blends executive support, licensed real estate coordination, and meaningful involvement with LGBTQ+ nonprofit organizations.

This is an ideal opportunity for a motivated professional who thrives in a multifaceted environment and is passionate about both operational excellence and community impact.

Key Responsibilities
  • Coordinate travel logistics between California, Michigan, Costa Rica, and other locations
  • Provide administrative and transaction support to a busy brokerage team (Active California Real Estate License in good standing required)
  • Assist with LGBTQ+ nonprofit initiatives and support emerging nonprofit organizations
  • Manage personal and professional tasks for a high-performing CEO
  • Support and coordinate Open House events across San Diego (and possibly Riverside & San Bernardino Counties)
  • Handle sensitive information with the highest level of discretion and confidentiality
  • Maintain and manage complex databases and administrative systems
  • May involve certain on‑site coordination with third‑party related trades for our rental property portfolio in San Diego
Qualifications
  • Bachelor’s Degree required
  • Active California Real Estate License in good standing
  • Valid California Driver’s License, auto insurance, clean driving record, and reliable transportation
  • Proficiency in Microsoft Office 365 and Google Workspace
  • Familiarity with Follow Up Boss, Asana, and AppFolio database software preferred, but not required. Quick knack for learning new software.
  • Solid experience working with complex databases
  • Proven experience with Adobe Acrobat and InDesign desired. Preference will be given to applicants who demonstrate formidable skills with these software titles
  • Bilingual English and Spanish skills are a plus, but not required
  • Exceptional organizational, communication, and multitasking abilities
  • Demonstrated integrity, trustworthiness, and professionalism
  • Strong multi‑tasking skills
  • Welcoming voice and writing skills, as you may be the first impression outsiders have on our companies and organizations
