Executive Assistant/Office Manager

Capitol Strategies Group – California Distributors Association

Overview

We are seeking a highly organized and detail-oriented professional to join a team

of government affairs professionals. The Executive Assistant/Office Manager will

provide executive support, manage office operations, and support bookkeeping

duties. The ideal candidate combines strong administrative, communication, and

bookkeeping skills and thrives in a dynamic, fast-paced environment.

Essential Duties & Responsibilities

• Schedule and manage calendars, travel, meetings, and correspondence for the team

• Prepare detailed reports, including FPPC compliance reports, 401k management, and

insurance audits

• Handle deposits, payables, receivables, and bank reconciliations

• Monitor account balances and cash flow; report regularly to management

• Prepare financial summaries, expense reports, and budget tracking documents

• Manage event planning, including board meetings and annual conventions

• Draft correspondence, board minutes, and other official documents

• Maintain organized digital and physical records and ensure compliance with reporting

requirements

• Monitor legislative or agency hearings as needed

• Provide general office management and visitor support

Qualifications

• Proven experience as an Executive Assistant, Office Manager, or similar role

• Experience with QuickBooks or similar accounting software

• Excellent organizational and multitasking abilities

• High attention to detail, discretion, and integrity in handling financial information and

client confidentiality

• Proficiency in MS Office and Google Suite

• Knowledge of the California Legislature and its processes is strongly preferred

• High School Diploma or GED required; BA/BS preferred
