Job description

Cosmetic Coordinator
The Cosmetic Coordinator is primarily responsible for managing our cosmetic and aesthetic patients' journey and overall life cycle through fostering patient retention, increasing revenue per encounter, and ensuring excellent patient outcomes in a high-touch environment. The Cosmetic Coordinator is ethical, patient-centered revenue driver with high emotional intelligence responsible for driving the office's revenue growth through business development efforts, event management, effective marketing, staff education, and reputation management.
The Cosmetic Coordinator serves as a vital link between the patient and the provider and therefore must be a natural multitasker, have exceptional communication and listening skills, and be efficient and detail oriented. The Cosmetic Coordinator should contribute to the overall positive work environment and generate enthusiasm among staff and patients for the products and services that drive cosmetic revenue throughout the practice.
Essential Functions & Responsibilities:
Administrative Duties:
  • Ability to manage a dedicated template that runs concurrently to the providers' in order to maximize their time and the patient experience.
  • Attend all appointments punctually ii.
  • Facilitate scheduled patients at check-in and check-out iii. Strategically manage a daily schedule composed of new and established patients; identify sales opportunities and close consults
  • Manage a direct line and patient calls and voicemails with rapid turnaround and superior customer service.
  • Perform treatment recalls from a well-maintained and curated recall list. d. Accurately quote, collect, and post payments and deposits for procedures. e. Perform product sales through deep knowledge of lines and specific products within lines
  • Perform pre-procedure education and consenting.
  • Perform post-procedure follow-up and call backs.
  • Learn the EMR & Practice Management systems.
  • Assist in the development of treatment packages, retention programs, and other revenue generating initiatives.
  • Monthly cosmetic injectable & retail inventory tracking.
  • Own and elevate the luxury cosmetic patient experience from inquiry through post-treatment follow up.
  • All pricing, discounting and package structuring must adhere to established practice guidelines and be approved by leadership.
  • Must demonstrate foundational understanding of cosmetic dermatologic treatments, contraindications and realistic outcome counseling.
  • Monitor expired product loss.
  • Assist in forecasting injectable volume.
  • Assist in vendor relationship management.

Marketing Educations:
  • Continuous focus on reputation management in conjunction with the Office Manager. Coordinate with marketing department to create and capture media for continuous updates of all social media platforms.
  • Assist marketing department in the development of look books by provider.
  • Collaborate with marketing department to create branded material for in-house marketing.
  • Quarterly cosmetically focused patient event planning and management.
  • Monthly in-house or vendor-sponsored cosmetic & cosmeceutical education sessions for staff & providers.
  • Stay current on the latest medical cosmetic innovations driven by evidence-based data.

Sales:
  • Convert all modalities of appointment inquiries to consults and convert consults to treatments. Ability to recognize and capitalize on cross-selling and upselling opportunities as appropriate and in the patient's best interest.
  • Demonstrate consistent, measurable consult-to-treatment.
  • Maximize revenue per encounter and track progress through monthly KPIs.

Required Skills, Attributes and Education:
  • Minimum bachelor's degree (work experience equivalent may be considered)
  • Prior Dermatology, Plastics Surgery, or equivalent cosmetic industry experience required
  • Background in Sales and Marketing experience a plus
  • Polished presence Bilingual a plus (not required) Compliance with HIPAA, OSHA & federal and state healthcare guidelines
  • Technologically savvy
