Cosmetic Coordinator

Summary
This role helps develop business development plans for the practice, assists with managing internal and external marketing strategies and developing a referral network. This role also serves as the point person ensuring proper communication among doctors, management, staff, and referring physicians, and performs receptionist and administrative responsibilities.
Job Responsibilities
Business Development
  • Implements objectives and motivates staff to achieve objectives by training staff on cosmetic products and procedures.
  • Coordinate monthly cosmetic seminars for patients, including invitations, presentations, refreshments, and follow-up.
  • Provide product consultation and education for patients.
  • Develop and identify referral sources and follow up utilizing multiple forms of communication.
  • Create monthly specials and corresponding marketing materials, including educational materials, and staff training.
  • Serves as key contact for all cosmetic inquiries including those from leads, patients, physicians, and staff members and vendors.
  • Facilitate product research.
  • Assist with promotion of our social media presence.
Administrative Duties
  • Effectively plan and facilitate monthly team meetings and provide summary to leadership.
  • Develops and monitors internal systems including scheduling new patient tracking, patient correspondence, patient retention, and referral source follow-up.
  • Develops and maintains internal patient database; identifies target patients for mailing and telephone calls.
Additional Responsibilities
  • Patient check-in/out: prepares for new patients and established patients, greet patients warmly and advise of any delays in schedules, obtain patient signatures on appropriate forms, and complete encounter forms when necessary.
  • Collect payments and provide patient receipts, and scan and file paperwork.
  • Answer telephones, screen calls, and take accurate messages.
  • Act as liaison between waiting patients and providers.
  • Order departmental office supplies as needed.
  • Assist with developing and implementing office procedures and organization, including running reports.
  • Assess skin care and cosmetic inventory daily to ensure efficiency of orders.

Minimum Qualifications
  • High School diploma or GED required. Educational focus in sales/social media preferred.
  • 1 - 2 years of cosmetic experience required; substantial knowledge of general cosmetic procedures and terminology.
  • Proven success meeting sales objectives while ensuring an elevated level of customer service.
  • Superior written and verbal communication skills utilized to positively motivate and influence others.
  • Commitment to positive customer experience and ability to ensure confidentiality.
  • Ability to work both independently and collaboratively within a team, while managing multiple projects simultaneously.
  • Strong computer and organizational skills with attention to detail
