Job description

Overview
Responsible for scheduling all cosmetic consultations and procedures. The coordinators are also responsible for prepping the cosmetic encounters for the week, collecting prepayments for larger procedures, checking patients out and collecting payments for procedures and products and scheduling their upcoming appointments.
Responsibilities
  • Answers incoming cosmetic phone line calls.
  • Schedules all cosmetic appointments (consultations and procedures).
  • Prep cosmetic encounters for upcoming appointments with correct codes, cost, and discounts.
  • Tasks charts for review weekly to providers that oversee procedures.
  • Participating and planning cosmetic open house events.
  • Managing monthly reports (revenue, procedures, and consultation conversion and product sales).
  • Completes tasks in EMA in a timely manner with patients questions, concerns or scheduling needs
  • Overseeing the schedule for the cosmetic provider: reschedule, cancel procedures, and adjusts schedules
  • Monitor openings on the schedule and attempt to fill with specials or conversion.
  • Working with the clinical team on messages and prior authorizations for prescriptions.
  • Create and manage cosmetic procedures monthly by collecting prepayments.
  • Manage monthly cosmetic vs dermatology reports to track an increase in percent cosmetic.
  • Organization and tracking of staff treatments.
  • Product knowledge on the SkinCeuticals line.

Qualifications
  • High School diploma is required
  • 1+ years of recent office experience is preferred.
  • Must be detail oriented.
  • Must have excellent communication skills and the ability to communicate effectively orally and in writing.
  • Demonstrated leadership experience. Must be able to demonstrate leadership by serving as an example to others with regard to professional behavior, handling multiple tasks, maintaining a positive attitude, and in response to organizational change.
  • Proficiency with Microsoft Word, Excel and Powerpoint is required. Must be able to learn new software quickly.
  • Must possess excellent leadership, organizational, and computer skills.
  • Ability to work effectively and cooperatively with staff, board, clients, and the public.
  • Ability to multi-task, prioritize appropriately, and work well both individually and as part of a team.
  • Ability to use time productively and contribute to high levels of company operational efficiency and effectiveness.
  • Ability to maintain confidentiality of information.

For this position, the base pay range is $25.00 - $26.00 per hour. Individual pay is determined by role, level, location, job-related skills, experience, and relevant education, certification, or training
