Job description

SUMMARY: The RFP & Pricing Analyst is responsible for managing formal RFP/RFQ responses while developing strategic, competitive, and profitable pricing solutions for contractual opportunities. This role serves as the project manager for bid submissions and as a pricing strategist, partnering cross-functionally with Sales, Finance, Contracts, and Executive Leadership to ensure proposals are complete, compliant, competitive, and aligned with company profitability objectives.

This position combines bid coordination, pricing analytics, cross-referencing, and contract compliance into one highly analytical and detail-driven role.

ESSENTIAL DUTIES AND RESPONSIBILITIES including the following. Other duties may be assigned.

RFP & Bid Management

  • Manage all formal RFP, RFQ, and large contractual bid opportunities from qualification through submission.
  • Initiate and lead cross-functional kickoff calls for each RFP, ensuring all functional stakeholders clearly understand requirements, timelines, responsibilities, and deliverables
  • Perform full review and analysis of bid documents to determine scope, requirements, risks, and timelines.
  • Determine go/no-go decisions in partnership with Sales leadership.
  • Serve as project manager for each bid opportunity to ensure deadlines are met.
  • Coordinate cross-functional collaboration with Sales, Finance, Pricing, Contracts, Vendors, and Executive Leadership.
  • Ensure all required submission materials are completed, approved, and submitted in compliance with solicitation requirements (pricing files, catalogs, references, certifications, signatures, etc.).
  • Manage Q&A periods, pre-bid meetings, addenda acknowledgments, and submission logistics.
  • Maintain RFP library and database of standardized responses and commonly requested documentation.
  • Conduct post-award analysis to determine win/loss outcomes and identify areas for improvement.
  • Perform product cross-referencing for large bid packages and complex quote requests.
  • Assist with informal quotes exceeding defined line thresholds.
  • Work with vendors to obtain updated pricing, product data, and supporting documentation as needed.
  • Review legal and commercial terms in partnership with Contract Manager to identify risks or exceptions.
  • Ensure no contractual commitments are submitted without proper review and approval.
  • Assist with vendor registrations, surveys, compliance questionnaires, and certifications.


Pricing Strategy
  • Review and validate system pricing, contract pricing, and customer-specific pricing structures.
  • Cross-reference 100% of market baskets to ensure complete and accurate product coverage.
  • Partner with Finance to validate margin thresholds and profitability objectives.
  • Gain written approval from Sales and Finance prior to final bid submission.
  • Develop templates and tools to streamline bid preparation and pricing analysis.
  • Identify process improvements to enhance response efficiency and pricing accuracy.
  • Review and validate system pricing (ERP/contract pricing tools) to ensure alignment with proposed RFP pricing.
  • Assist Pricing Analysts with pricing projects as bandwidth permits

  • A passion for understanding pricing strategies and execution methodologies in a manufacturing and/or distribution business
  • Strategic thinker and problem solver
  • Detail oriented, organized, and analytical. Has the ability to handle multiple projects at the same time
  • Ability to drive projects and activities to successful conclusion, operating with a high sense of urgency
  • Experience with ERP and CRM systems (Epicor, Salesforce)
  • Excellent analytical capabilities including Excel, Power BI, and relational database skills
  • Demonstrated ability to operate independently with broad general guidance against a framework of defined business objectives
  • BS/BA degree in Business, Marketing, Finance, Industrial Engineering, Economics, Statistics, Mathematics or related field or equivalent experience required
  • 5+ years applicable experience
  • Prior experience in pricing, contract management and/or RFP/Bids preferred


SUPERVISOR RESPONSIBILITIES:
  • This job does not have supervisory responsibilities.
  • May lead cross-functional project teams during bid process
