Matthews Real Estate Investment Services, Inc. (the "Company") is a leading commercial real estate brokerage and investment services company known for its commitment to excellence, integrity, and client service. The Company's Legal Department provides comprehensive support to the Company and its affiliated brokers across corporate, transactional, licensing, litigation, and compliance matters.
To strengthen our growing team, we are seeking a Senior Contracts Paralegal to support the Company's in-house attorneys. This position will play a critical role in maintaining our nationwide corporate and brokerage contracts and contract templates and supporting the Legal Department's broader operational and compliance functions.
The Senior Contracts Paralegal will handle the Company's day-to-day contracting operations and provide essential paralegal support across a wide range of legal functions. This role requires someone who is detail-oriented, highly organized, willing to learn new things, comfortable working in a fast-paced and deadline-driven environment. The ideal candidate will bring experience in contracts, particularly in real estate or another highly regulated industry.
Candidates need not have extensive experience in all aspects of this role, as the successful candidate will be expected to learn and train on the job and will develop into a highly skilled and integral member of our team. However, it will be essential for the successful candidate to have extensive experience utilizing and implementing legal technology, including without limitation state-of-the-art Contract Lifecycle Management and other contract automation software and applications. It will be a significant benefit if the successful candidate has experience playing a major role in the implementation of such software and applications.
The contract responsibilities include maintaining, updating, organizing, and reviewing the Company's library of contract templates, preparing contract templates for implementation in to Contract Lifecycle Management and other contract automation software and applications, training agents and other users on contracts processes and best practices, understanding contract requirements in different states across the country, and working with brokers and others to assist them in filling out and creating contracts, among other tasks. The paralegal responsibilities include legal writing and editing, contract template creation and reviews, implementing the Company's contract lifecycle management and automation software, legal research, and compliance assistance, as well as providing general support and assistance to the Companies attorneys.
This role will be based in our Nashville, TN office.
Key Responsibilities:
Contract Responsibilities
  • Assist the attorneys, engineers, and others prepare to implement and implement Contract Lifecycle Management and other contract automation software and applications.
  • Maintain, update, organize, and review the Company's library of contract templates.
  • Training agents and other users on contracts processes and best practices.
  • Staying current on contract requirements in different states across the country.
  • Work with brokers and others to assist them in filling out and creating contracts.
  • Assist the Contracts Administration team with compliance reviews, training, and other contracts-related tasks.

Licensing Responsibilities
  • Assist the Licensing Manager with license applications, transfers, renewals, and related filings for brokers and the Company in all states.
  • Track licensing deadlines and maintain accurate, up-to-date records of application and renewal statuses.
  • Research and interpret licensing requirements across various states; ensuring Company and agent compliance with regulatory obligations.
  • Communicate regularly with brokers, internal stakeholders, and state licensing agencies to resolve questions and ensure timely processing.
  • Assist with developing and refining internal licensing procedures to improve accuracy, efficiency, and broker experience.

Other Paralegal Responsibilities
  • Draft, revise, and proofread legal documents, including correspondence, memoranda, contract templates, and corporate forms.
  • Conduct legal and regulatory research, summarize findings, and assist with compliance initiatives.
  • Support attorneys in corporate, transactional, litigation, and compliance matters as needed.
  • Maintain organized legal files, logs, and documentation to support accurate reporting and internal workflows.

Cross-Department Collaboration
  • Provide direct support to brokers and sales agents regarding contract and licensing requirements.
  • Work closely with team members across Operations, HR, Compliance, and other departments to streamline processes and promote efficiency.
  • Support Legal Department initiatives aimed at enhancing internal systems, improving workflows, and maintaining a culture of excellence.

Required Qualifications:
  • 6-8 years of experience in a paralegal role with particular emphasis on contracts and transactions.
  • Experience with contract lifecycle management or automation software.
  • Strong attention to detail with exceptional organizational and time-management skills.
  • Demonstrated ability to track deadlines, manage multiple tasks, and follow structured processes.
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality and work with professionalism and discretion.
  • Proficiency with Microsoft Office and ability to learn new software platforms.

Preferred Qualifications
  • Prior experience implementing contract lifecycle management and automation software.
  • Bachelor's degree or equivalent paralegal certification/training.
  • Prior experience in real estate brokerage, brokerage licensing, or highly regulated industry compliance.
