OPERATIONS COORDINATOR - CONSTRUCTION AND SITE SERVICES
HTM GROUP | HONOLULU, HI
HTM Contractors, Inc. is a locally owned contractor serving residential and commercial customers throughout Oahu. We specialize in infrastructure, demolition, excavation, tree services, junk removal, roll-off dumpster rentals, environmental cleaning, street sweeping, and other specialty services.
We're looking for a dependable Operations Coordinator - Construction and Site Services to help coordinate customers, crews, drivers, equipment, and daily operations. This role is ideal for someone who enjoys helping people, staying organized, solving problems, and keeping things moving.
You'll be the connection between customers, office staff, project teams, and field crews - making sure every request is scheduled correctly and followed through from start to finish.

The Work:
In this role, you'll help coordinate daily operations for our Roll-Off, Junk Removal, Demolition, Excavation, and Infrastructure divisions. Your responsibilities include:
  • Answering customer calls and responding to customer messages
  • Helping customers schedule services and understand next steps
  • Gathering job details, site information, photos, and required documents
  • Creating and updating customer accounts, jobs, and work orders
  • Scheduling estimates, site visits, deliveries, removals, exchanges, and services
  • Dispatching drivers, crews, trucks, dumpsters, trailers, and equipment
  • Maintaining accurate schedules and calendars
  • Coordinating dumpster rentals, pickups, exchanges, and relocations
  • Confirming job details including locations, access instructions, timing, and special requirements
  • Tracking job progress and communicating updates to customers and teams
  • Updating information in CRM and ERP systems
  • Preparing paperwork, tickets, and documentation for completed work
  • Collecting job records needed for billing
  • Processing Certificates of Insurance (COIs)
  • Supporting demolition, excavation, infrastructure, crushing, hauling, crane, and equipment service coordination
  • Communicating schedule changes and important updates
  • Helping office and operations teams stay organized

  • Previous experience in administration, customer service, scheduling, dispatch, or office support
  • Strong communication skills and a professional attitude

  • Experience with CRM, scheduling, or business software is a plus
  • Ability to work independently while also being part of a team
