Position Overview

We are seeking a detail-oriented and dependable Bookkeeper to join a growing HVAC company in Farmingdale, NY and work directly alongside the Owner. This is a hands-on role responsible for managing the day-to-day financial and accounting functions of the business while providing ownership with accurate and timely financial information.


The ideal candidate has bookkeeping experience within HVAC, mechanical contracting, construction, plumbing, electrical, or another service-based trade and is comfortable working in a fast-paced, owner-operated environment.


Key Responsibilities

  • Manage day-to-day bookkeeping and maintain accurate financial records
  • Handle Accounts Payable and Accounts Receivable
  • Process vendor invoices, payments, and expenses
  • Generate customer invoices and follow up on outstanding receivables
  • Perform bank and credit card reconciliations
  • Assist with payroll processing, timekeeping, and payroll-related reporting
  • Maintain vendor and subcontractor records
  • Track job-related costs, expenses, purchase orders, and vendor invoices
  • Assist with job costing and monitor project profitability
  • Work closely with service, project management, and operations teams to ensure accurate billing
  • Maintain general ledger entries and assist with month-end close
  • Prepare financial reports for the Owner, including cash flow, receivables, payables, and expenses
  • Assist with 1099s, workers' compensation audits, sales tax, and other accounting requirements
  • Coordinate with the company's outside CPA/accounting firm as needed
  • Maintain organized accounting records and supporting documentation
  • Identify discrepancies and proactively bring financial or operational issues to the Owner's attention
  • Support the Owner with additional financial and administrative projects as needed

Qualifications

  • 3+ years of bookkeeping or accounting experience preferred
  • Experience within HVAC, mechanical contracting, construction, plumbing, electrical, or a related trade strongly preferred
  • Strong knowledge of AP, AR, reconciliations, payroll, and general bookkeeping
  • Experience with QuickBooks or similar accounting software
  • Understanding of job costing and project/service billing highly preferred
  • Strong Excel skills
  • Excellent attention to detail and organizational skills
  • Ability to manage multiple priorities and deadlines
  • Comfortable working independently and taking ownership of the bookkeeping function
  • Strong communication skills and ability to work directly with company ownership
  • High level of discretion when handling confidential financial information
