Job description

For more than 50 years, the LLA has helped the state of Louisiana foster accountability and transparency within Louisianaโ€™s government by providing the Legislature and others with audit services, fiscal advice, and other useful information.

The LLA is seeking an Administrative Assistant III to provide high-level, professional administrative support to the First Assistant Legislative Auditor and Director of Financial Audit Services, Assistant Directors, Audit Managers, and other members of executive management as assigned.

This position serves as a central administrative resource for Financial Audit Services and independently manages a broad range of complex and sensitive administrative functions. The ideal candidate should possess sound judgment, discretion, strong organizational skills, and the ability to communicate professionally with legislators, external stakeholders, agency personnel, and the public.

  • Assist with state contracting activities, including preparing and distributing solicitations for proposals to perform audits and agreed-upon procedures engagements.
  • Track state agencies receiving audits, reviews, or compilations performed by independent certified public accountants.
  • Analyze proposals in accordance with specified criteria and coordinate the processing of engagement agreements and contracts with legal.
  • Maintain communication with audited entities and independent certified public accountants and assist with monitoring the status of contracted engagements.
  • Provide administrative support to directors and management, including coordinating calendars, scheduling meetings, arranging conference calls or virtual meetings, and preparing and distributing materials.
  • Compose, prepare, proofread, and format correspondence, reports, presentations, memoranda, and other documents.
  • Coordinate in-state and out-of-state travel arrangements, including registrations, lodging, airfare, rental vehicles, and related logistics.
  • Prepare requisitions and process documentation for employee reimbursements, travel reimbursements, professional development reimbursements, office purchases, and contracts.
  • Assist with developing and formatting PowerPoint presentations and related materials.
  • Maintain tracking systems for changes in agency leadership and key contacts.
  • Monitor incoming correspondence and allegation databases for Financial Audit Services.
  • Perform additional administrative projects and assignments as directed.

Minimum Qualifications

One of the following:

  • A bachelorโ€™s degree from an accredited college or university in business administration, communications, public administration, management, political science, or a related field; OR
  • Four years of progressively responsible administrative or secretarial experience.

Additionally, applicants should possess:

  • Excellent written and verbal communication skills.
  • Strong organizational, time-management, and multitasking skills.
  • Proficiency in Microsoft Office applications.
  • The ability to easily learn and use other standard office software, including Tracker and JD Edwards.
