Summary:
This position will work in the Contract Administration Group reporting to the Contract Administration Manager/Supervisor. The administrator is the initial point of contact within the contracts group ensuring that deals are appropriately papered, contract provisions are adhered to, and business records are maintained. The administrator must communicate effectively in a cross-functional environment on matters relating to systems and contracts.
Essential Duties and Responsibilities:
Support ET Entities/Commercial by providing value added services such as:
• Enter trades and trade updates in the system of record accurately and on time
• Draft and issue confirmations
• Review 3rd party confirmations and flag/resolve discrepancies
• Set-up contracts and maintain related data across systems (Entero, Agiloft, SAP, RightAngle, Filenet, etc)
• Support maintenance of the contract database, including updates and tracking deadlines
• Support the contract lifecycle process from routing through execution, ensuring compliance requirements are met
• Assist with projects and process improvement efforts as needed
• Ensure SOX and other regulatory requirements are met
• Collaborate across business lines to ensure processes are followed and needs are met
• Cross train and provide back up within the team
• Follow established procedures and contribute to updates as needed
Requirements:
Education and/or Experience, Knowledge, Skills & Abilities:
To perform this job successfully, an individual must be able to perform each essential job duty satisfactorily. The requirements for this position are listed below:
  • Bachelor's Degree OR equivalent experience with 2+ years of physical products contracts preferred
  • One or more year of physical products contract administration experience preferred
  • Excellent organizational skills, effective verbal and written communication skills necessary
  • Effective interpersonal skills
  • Ability to resolve issues across various groups without supervisor involvement
  • Strong analytical and problem-solving skills
  • Strong Microsoft Office skills
  • Experience with contract review and contract system management preferred
  • Ability to think proactively, multi-task and work independently with minimal supervision
  • Ability to prioritize and meet critical deadlines with a sense of urgency
  • Ability to resolve non-routine problems without having to escalate to management

Required experience is commensurate with the selected job level:
  • The Specialist/Analyst level requires a Bachelor's degree or equivalent experience and 2-5 years of relevant job related experience
  • The Senior Specialist/Analyst level requires a Bachelor's degree or equivalent experience and 5-8 years of relevant job related experience
  • The Lead Specialist/Analyst level requires a Bachelor's degree or equivalent experience and 8+ years of relevant job related experience

  • Usually, normal office working conditions.
  • Must be able to remain in a stationary position 50% of the time due to prolonged periods of sitting or standing.
  • Occasional overnight travel may be required.
  • Occasional visits to industrial/manufacturing settings, which may include exposure to various materials and chemicals, as well as extreme temperature conditions and loud machinery, and require appropriate personal protective equipment.
