Job description

Summary:

Responsible for coordinating projects, inventory activities, and operational initiatives to support business continuity and manufacturing operations. The Project Coordinator collaborates with cross-functional teams to monitor timelines, manage documentation, track project progress, and support spare parts and logistics activities. This role ensures operational efficiency, inventory accuracy, compliance with company standards, and timely execution of assigned projects within a regulated manufacturing environment.

Responsibilities:

  • Coordinate and support project activities, operational initiatives, and business processes.
  • Monitor project timelines, budgets, deliverables, and system status to ensure compliance and operational efficiency.
  • Manage and maintain inventory control processes for spare parts and operational materials.
  • Perform spare parts and material restocking, organization, receiving, and distribution activities.
  • Create, track, and maintain purchase orders (POs) and procurement-related documentation.
  • Receive and verify materials, supplies, and purchases to ensure inventory accuracy and compliance.
  • Assist in resolving procurement, invoice, and billing discrepancies with suppliers and internal departments.
  • Gather, compile, and analyze operational data for reports, audits, and management presentations.
  • Prepare reports and maintain updated records and documentation in compliance with company procedures and regulatory standards.
  • Coordinate with suppliers, Engineering, Maintenance, Supply Chain, and Operations teams to support inventory planning and replenishment activities.
  • Provide technical and administrative support including documentation control, data tracking, reporting, coding, and training coordination.
  • Utilize SAP, Excel, and Microsoft Office tools for inventory tracking, reporting, scheduling, and operational analysis.
  • Identify and help resolve issues impacting inventory accuracy, procurement processes, supplier performance, or project timelines.
  • Support continuous improvement initiatives focused on operational efficiency, inventory optimization, and downtime reduction.
  • Ensure compliance with company policies, quality systems, and safety requirements.
  • Other duties may be assigned.

Requirements:

Education:

  • Bachelor’s degree completed in Business Administration, Project Management, Supply Chain, Engineering, or related field.
  • Minimum of 2 years of experience in project coordination, logistics, inventory management, procurement support, or manufacturing operations.

Required Skills & Qualifications:

  • Experience working in manufacturing or regulated industries preferred.
  • Proficiency in SAP, Microsoft Office Suite, Excel, and project management tools such as MS Project or Smartsheet.
  • Strong organizational, analytical, and multitasking skills.
  • Excellent verbal and written communication abilities.
  • Ability to work collaboratively in a fast-paced, team-oriented environment.
  • Strong problem-solving and coordination skills.
  • Willingness to work 12-hour night shifts (5:00 PM – 5:00 AM).
  • Availability to work 100% on-site in Juncos.

Preferred Qualifications

  • Experience supporting spare parts management, inventory control, procurement, or supply chain operations.
  • Knowledge of ERP systems, inventory management processes, and supplier coordination workflows.
  • Experience in medical device, pharmaceutical, or regulated manufacturing industries.
