About this Role

NorthStar Energy Services is seeking a detail-oriented Contracts Administrator to support the administration, coordination, and maintenance of contracts supporting engineering, procurement, and construction activities. This position works closely with project management, procurement, operations, accounting, and other internal stakeholders to help ensure contractual documentation is complete, accurate, properly executed, and maintained throughout the project lifecycle.

NorthStar Energy Services, a Quanta Services company, provides engineering, design, procurement, construction, and support services to the chemical, petrochemical, pipeline, oil & gas, bulk storage, and terminal industries and delivers both individual project services and turnkey EPC project implementation.

What You'll Do
  • Administer and maintain customer, subcontractor, vendor, and supplier contracts, purchase agreements, amendments, change orders, and other contractual documentation.
  • Coordinate contract documentation from initiation through execution, ensuring required approvals, signatures, insurance documentation, and supporting records are obtained and properly maintained.
  • Review contracts and related documents for completeness, established commercial requirements, deliverables, dates, and administrative compliance; escalate exceptions or contractual concerns to appropriate management.
  • Maintain accurate contract files, logs, tracking systems, and databases, including key dates, notices, renewals, change orders, deliverables, and closeout documentation.
  • Partner with Project Management, Procurement, Accounting, and Operations to support contract compliance, invoicing requirements, subcontract administration, and resolution of documentation discrepancies.
  • Assist with preparation and processing of contract modifications, change documentation, correspondence, notices, and other project-related commercial records.
  • Support audits, project closeouts, reporting, and continuous improvement of contract administration processes while maintaining confidentiality of company and customer information.
What You'll Bring
  • High school diploma or equivalent required; associate or bachelor's degree in Business Administration, Supply Chain, Construction Management, Finance, or a related field preferred.
  • 3-8 years of contract administration, procurement, project administration, or related experience; experience within engineering, construction, EPC, oil & gas, petrochemical, or industrial services is preferred.
  • Working knowledge of contracts, purchase orders, subcontracts, change orders, and general commercial documentation.
  • Strong organizational skills and attention to detail with the ability to manage multiple contracts, priorities, deadlines, and stakeholders simultaneously.
  • Strong written and verbal communication skills with the ability to work effectively across project, operational, financial, and supply chain teams.
  • Proficiency with Microsoft Office applications; experience with ERP, procurement, contract-management, or document-control systems is preferred.
  • Ability to exercise sound judgment when identifying documentation issues and escalating contractual or commercial matters to the appropriate authority.
  • Ability to travel occasionally based on project or business needs.
