Job description

ADVOC8 is searching for a versatile, self-motivated Event Producer who is excited about bringing experiential ideas to life from concept through delivery. This person will own end-to-end production of small to mid-scale experiential projects and lead defined workstreams within larger, more complex programs, ensuring every project is delivered on time, on budget and aligned with client goals. Alongside production leadership, this role will partner with our warehouse and operations team on event kit logistics โ€” from packing and quality control through shipping and onsite readiness โ€” so nothing falls through the cracks between the office and the field. They are detail-oriented, financially disciplined, and care deeply about ensuring our clients always have a positive experience. Comfortable managing vendors, guiding junior team members, and collaborating across internal teams, clients and partners, this is an excellent opportunity for an experienced producer ready to take on greater ownership, complexity and scope.

RESPONSIBILITIES
  • Own end-to-end production of small to mid-scale experiential projects
  • Lead defined workstreams within larger, more complex programs
  • Translate creative concepts into actionable production plans
  • Establish and manage timelines, workbacks and execution frameworks
  • Ensure core project processes are followed (kickoffs, tacticals, recaps, debriefs)
  • Maintain accurate and complete project documentation across all phases

Budget & Financial Management

  • Build and manage project budgets, estimates and reconciliations
  • Track financial performance and flag risks early
  • Support margin protection through disciplined financial oversight
  • Partner with internal teams on billing and financial processes
  • Source, coordinate and manage production vendors and partners
  • Negotiate scopes, pricing and timelines with guidance as needed
  • Ensure vendor deliverables align with project expectations and standards
  • Coordinate logistics, fabrication and technical production elements

Client Communication & Partnership

  • Serve as production lead for assigned projects and workstreams
  • Communicate timelines, logistics and execution details clearly
  • Partner with Client Services to ensure aligned communication
  • Participate in client meetings and presentations as production lead or contributor

Creative & Cross-Functional Collaboration

  • Partner with Creative and Client teams to ensure concepts are feasible and aligned with budget
  • Provide production-informed input during concept development and execution
  • Ensure alignment across Production, Creative and Client Services throughout the project lifecycle

Event Kit & Warehouse Logistics

  • Partner with our fulfillment team to plan and oversee event kit assembly, packing and quality control for assigned projects
  • Ensure kits are accurately scoped and labeled, anticipating what field teams will need onsite before it becomes a problem
  • Coordinate shipping timelines, loadโ€‘in/loadโ€‘out logistics, drayage and advance warehouse needs with vendors and internal operations teams
  • Track kit inventory for assigned programs and flag reorder or replacement needs
  • Troubleshoot logistics issues in real time, whether working remotely or onsite

Onsite Execution

  • Lead or support onsite execution for assigned projects
  • Ensure execution is organized, safe and aligned with plan
  • Troubleshoot issues in real time and maintain professionalism under pressure
  • Support project closeโ€‘out and post-event documentation

Team Support & Delegation

  • Support and guide Associate Producers and Coordinators on assigned projects
  • Delegate workstreams clearly and ensure accountability
  • Contribute to team effectiveness through organization and communication

Professional Development

  • Stay up-to-date on industry trends, experiences, events and technology
SKILLS & QUALIFICATIONS
  • 4-7+ years of experience in the experiential production industry or a closely-related field, including experience owning projects end-to-end; previous brand or agency experience preferred
  • Demonstrated experience building, managing and reconciling project budgets, with a strong understanding of margin protection
  • Proven experience sourcing and negotiating with vendors and partners on scope, pricing and timelines
  • Track record serving as a client-facing production lead, with the confidence to communicate directly with client stakeholders
  • Experience guiding, delegating to and supporting junior team members (e.g., Associate Producers, Coordinators)
  • Working knowledge of event logistics fundamentals (loadโ€‘in/loadโ€‘out, drayage, advance warehouses, shipping to venues) and comfort coordinating with warehouse/operations teams on kit assembly, packing and quality control
  • Ability to anticipate onโ€‘site production needs from a logistics perspective โ€” you know what a team needs in the field before they ask
  • Strong problemโ€‘solving skills with the ability to anticipate challenges and find creative solutions
  • Strong communication skills, detail-oriented, organized and efficient
  • Ability to own and balance multiple projects and meet deadlines
  • Enjoys research and is willing to put in the extra effort to solve challenges

  • Proficiency in Google Suite, Microsoft PowerPoint, Microsoft Word, and Acrobat, with handsโ€‘on experience in project management and time tracking tools such as Monday.com and Harvest
  • Can work flexible hours including some nights and weekends
  • Is comfortable traveling 30% or more locally, nationally, and internationally
  • Ability to remain in a stationary position for an extended period of time
  • Ability to lift and/or move boxes and equipment up to 50 lbs. (with assistance)
  • Ability to position self under tables or stages, and/or lower self to floor
