Key responsibilities

  • Process a high volume of client orders accurately and on time, including course purchases, renewals, and simple service changes.

  • Partner with Account Managers to support routine transactions and ensure accurate order and account data in Salesforce.

Job description

About the role:

Founded in 1995, Vastian is the leading provider of healthcare and laboratory quality, compliance and accreditation solutions, powering laboratories and hospitals to achieve better clarity and show their higher standards. Its single, configurable integrated platform delivers a standardized, centralized solution that automates quality and compliance tasks and is fully customizable. With Vastian, health systems and labs can get ahead of compliance and quality processes, saving time that can be spent on delivering better care. Vastian is a private equity backed, fast-growing SaaS business based in Lawrenceville, GA, outside Atlanta.

We are seeking a highly organized and detail-oriented Order Processing Specialist to join our dynamic SaaS company. In this high-volume, fast-paced role, you will manage straightforward client transactions such as course orders, renewals, and simple service requests. By handling these administrative tasks, you will enable our Account Managers to focus on complex client needs. This role is critical in ensuring a seamless client experience and efficient order management.

In addition to a competitive base salary and performance bonus program, Vastian offers a comprehensive and very pro-employee benefits package which includes the following:

  • Medical, dental and vision insurance
  • Short- and long-term disability coverage
  • Life insurance and AD&D
  • Supplemental life insurance
  • 401(k) savings plan
  • Paid time off
Responsibilities and Duties:
  • Process a high volume of client orders accurately and on time - course purchases, flat-rate renewals, and straightforward service changes - in a fast-paced environment where turnaround directly affects the client experience.
  • Own a case queue in Salesforce: triage incoming requests, work them to resolution, and keep the queue current.
  • Partner directly with Account Managers as day-to-day operational support, taking routine transactions off their plate so they can focus on complex client needs and growth.
  • Put the customer first on every interaction - respond promptly and professionally, follow through until a request is fully closed, and elevate quickly when something needs a decision.
  • Maintain accurate order and account data in Salesforce, catching discrepancies and incomplete information before they reach billing.
  • Coordinate with Finance to support billing accuracy, invoice generation, and clean revenue data.
  • Speak up when a process isn't working. We are a small team, and we expect people to raise problems and propose fixes rather than build workarounds.
  • Jump in where the team needs coverage. Priorities shift, and we want someone comfortable with that.
Qualifications:
  • 3+ years in order processing, sales operations, customer support, or a similar role, ideally in SaaS or another subscription business.
  • Hands-on Salesforce experience, including working from a case- or queue-based workflow.
  • Demonstrated ability to work accurately at volume - this role is measured on both throughput and error rate.
  • Exceptional attention to detail: you catch the wrong quantity, the date that doesn't match the contract, the renewal term that doesn't make sense.
  • Strong organizational and prioritization skills, with the judgment to know what has to move today and what can wait.
  • Clear, professional written and verbal communication with clients and internal partners.
  • Comfort in a small-company environment - no large support org behind you, shifting priorities, and real ability to influence how things get done.
  • A collaborative, positive attitude and a willingness to pitch in outside a job description.
  • Experience supporting Account Managers or a client-facing sales team.
  • Familiarity with subscription or recurring billing models is a plus.

Vastian is an equal opportunity employer. We do not discriminate on the basis of race, color, religion, national origin, pregnancy status, sex, age, marital status, disability, sexual orientation, gender identity or any other characteristics protected by law.
