Job description

Job Title:         Clerk  Attendance HS                     Wage/Hour Status:  Nonexempt     
Reports to:      Principal                                            Pay Grade:              AS3  194 Days
Dept./School:  Assigned Campus                             Date Revised:        1/23/2025
Primary Purpose: 






Facilitate the efficient operation of the attendance office and provide clerical services to the assigned administrator. Maintain accurate attendance records for the campus. Under direct supervision, perform data entry of attendance records.

Qualifications: 

Education/Certification

  • High school diploma or GED

            Special Knowledge/Skills:

  • Proficient skills in keyboarding, word processing, and file maintenance
  • Effective organizational, communication and interpersonal skills
  • Ability to use personal computer and software to develop spreadsheets and databases,
  • Ability to speak/read Spanish (Preferred)         

            Preferred Experience:

  • Three years of successful secretarial or clerical experience preferably in a related field

Major Responsibilities and Duties: 

Records and Reports:

  1. Organize and manage the routine work activities in the attendance office.
  2. Collect and enter attendance data into established database and verify accuracy of    according to established procedures.
  3. Assist parents, students, and faculty with questions regarding student attendance.
  4. Prepare and print reports, including attendance reports, grades, class or personnel     rosters, end-of-semester reports, or accounting reports.
  5. Contact parents to verify student absences as needed
  6. Report all attendance problems to designated administrator
  7. Knowledge of district attendance guidelines/policies

Reception and Phones:

  1. Prepare correspondence, forms, reports, etc. for the assigned administrator.
  2. Compile, prepare, and submit various reports for the office.
  3. Make appointments and maintain office calendar.
  4. Receive incoming calls, take reliable messages, and route all to appropriate staff.
  5. Receive, sort, and distribute mail and other documents to staff members.
  6. Maintain office files.

Other:

  1. Maintain confidentiality of all information.
  2. Provide excellent customer service to all students, staff, parents, and community members
  3. Order and maintain supplies.
  4. Participate in staff development training programs when appropriate.
  5. Keep informed and comply with all state and district policies and regulations   concerning primary job functions.
  6. Responsible for the input of TEAMS/PEIMS data as directed.

Equipment Used: Multi-line phone system; standard office equipment including personal computer and peripherals

Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, kneeling and twisting

Motion: Repetitive hand motions; frequent keyboarding and use of mouse; occasional reaching

Lifting: Occasional light lifting and carrying (less than 15 pounds), occasional heavy lifting, over 45 pounds

Environment: May work prolonged or irregular hours

Mental Demands: Work with frequent interruptions; maintain emotional control under stress; Subject to frequent deadlines
