Essential Job Duties:
Under the supervision of the General Manager, candidate is responsible for supporting the commercial organization through the administration, analysis, and lifecycle management of customer contracts. This role ensures end to end lifecycle management of customer contracts with a primary focus on streamlining sales contract processes. The ideal candidate combines strong contract administration expertise with systems thinking and continuous improvement capability. The Contract Specialist works cross functionally to support sales and business area execution while enabling scalable, standardized, and technology-enabled contract processes.

Contract Administration & Lifecycle Management

  • Own and manage the end to end contract process, including contract Standard Operating Procedures (SOPs) with all functional groups

  • Coordinate contract review, approval routing, and execution in accordance with company delegation of authority and internal controls

  • Maintain contract records, amendments, and supporting documentation within CRM and contract management systems

  • Track contract milestones such as expiration dates and overall contract aging

  • Evaluate existing contract flows to identify necessary process improvements including alternative contract management systems

  • Lead efforts to evaluate, implement, or optimize CLM solutions including workflow design, templates, and automation

Compliance Support

  • Coordinate with internal stakeholders (Legal, Finance) to ensure contracts comply with internal policies and regulatory requirements

  • Support audits and internal reviews by providing contract documentation and data as required

  • Ensure contract terms align with approved commercial strategies and risk guidelines

Sales & Business Support

  • Serve as a primary point of contact for the sales organization regarding contract status and efficient, timely contract execution

  • Redesign processes to accelerate contract turnaround and improve approval efficiency

  • Communicate contract updates and change implementation to leadership stakeholders

Reporting, Analytics & Process Improvement

  • Track and report with process KPIs on contract cycle times and compliance metrics

  • Identify opportunities to improve contract workflows, reduce cycle time, and standardize documentation

  • Lead and develop system transformation goals, testing, and training related to contract or CRM tools related to contracts

  • Hold ownership in the development and maintenance of standard operating procedures for contract processes

Safety & Governance Alignment

  • Ensure all contract activities align with company HESS (Health, Environment, Safety, Security) principles

  • Adhere to record retention, data privacy, and governance standards applicable to company guidelines

Required Qualifications:

  • Bachelor's degree in Business Analysis, Finance, Legal Studies or related field (or equivalent experience)

  • 5 years of experience in contract administration, demonstrated experience with CLM platforms, sales and commercial support roles

  • Strong proficiency in Microsoft Office (Excel, Outlook, Teams, PowerBI, SharePoint and Microsoft platforms)

  • Experience working with CRM or ERP systems (SAP, S/4, MS Dynamics, Salesforce, or similar)

  • High attention to detail with aptitude to interpret contract process design

  • Ability to manage multiple priorities and deadlines in a fast paced environment

Preferred Qualifications:

  • Contract experience in chemical manufacturing or other regulated industries

  • Familiarity with high volume, time sensitive sales contract workflows

  • Advanced Excel skills (pivot tables, lookups, data analysis)

  • Experience supporting audits or compliance reviews
