The System Offices is one of several system members within the Texas A&M University System representing one of the largest systems of higher education in the nation, with a network of 12 universities, a comprehensive health science center, eight state agencies, Texas A&M - Fort Worth and the Texas A&M - RELLIS Campus. Job Description Summary:
This position will be responsible for monitoring the overall contract administration and review process (e.g., origination, recommendation, approval, execution, administration, closeout, reporting, etc.) and assisting the Associate Director with other contract or procurement related duties.
Responsibilities:
- Assist the Associate Director with the overall contract administration process to include creation, review, negotiation, associated workflows, execution, reporting requirements, and other tasks related to business and service contracts for The Texas A&M University System Offices (SO) in accordance with statutory requirements and established A&M System policies and regulations.
- Develop and maintain reporting functions associated with contracts on behalf of SO. Such reporting will involve not only performance measures but also developing and maintaining reporting associated with monitoring of contract performance for individual departments and system-wide agreements.
- Review terms of each contract and coordinate further reviews as necessary with appropriate System offices such as the Office of General Counsel, Risk Management, Information Technology, etc. Review shall include incorporating appropriate legal terms as well as favorable business terms for TAMUS.
- Assist the Associate Director with implementation and continuing maintenance of the contract management system.
- Assist the Associate Director to ensure that the SO and member contract delegations of authority are current and reviewed annually.
- Assist as needed with procurement functions to include the processing of requisitions with the appropriate supporting documentation for approval and placement of orders.
- Other duties as assigned.
Education and Experience:
- Bachelor's degree or equivalent combination of education and experience.
- Five years of contracting and/or procurement, or other business experience.
Registration, Certifications, and Licenses:
- Certified Texas Contract Manager certification through the state of Texas Comptroller of Public Accounts, or ability to complete certification within 6 months of employment.
Knowledge, Skills and Abilities:
- Must be able to demonstrate excellent organizational, customer service, Interpersonal, written and verbal communication skills.
- Proofreading skills and the ability to use word processing, spreadsheet, and database software.
- Ability to record, reconcile and analyze financial information.
- Ability to handle confidential/time sensitive matters.
- Must be able to maintain consistent and efficient workflow.
- Ability to multitask and work cooperatively with others.
Preferred Qualifications:
- Bachelor's degree in Finance, Business Management or Business Law.
- Five years of experience in contract management with emphasis in management/monitoring of contract performance.
- Working knowledge of contract review, negotiation and administrative oversight of process related to business, service or research contracts.
- Experience working with a web-based procurement system.
- Able to read and review high volume of contracts and interpret implications to the A&M System.
