Duties:

  • Use the State of Nebraska's Payroll and Financial Center (PFC) to enter and receive purchase orders, generate contracts, track expiration and renewal dates, and aid Contracts Officers and Procurement Specialists.
  • Maintain procurement files, including contract maintenance, contract lists, certificates of insurance and track contract renewals.
  • Enter and troubleshoot regularly scheduled maintenance and service purchase orders on behalf of all NDCS facilities.
  • Review and upload procurement documents, including NDCS issued contracts to state database(s) (LB429) for compliance and transparency.
  • Help resolve procurement issues with internal and external customers.
  • Assist with the preparation and distribution of documents for Request for Information, Request for Proposal, and Invitations to Bid.
  • Assist Contracts Officers and Procurement Specialists coordinate facility visits with contractors and appropriate internal customers.
  • Act as training coordinator; including lead trainer for Office Specialists.
  • Place and track internal purchase orders from contracted suppliers as assigned.
  • Provide support to team members as needed.
  • Provide regular and reliable attendance.


Requirements/ Qualifications

Minimum Qualifications: Coursework/training or experience related to research, presentation, or publication in an area related to the programs or functions of the employing agency; business administration; accounting; customer service; and/ or technical support work, including use of computer software such as word processing, spreadsheets, and database management.

Preferred Qualifications: Associate degree in a business-related area. Working knowledge of PFC Procurement Module. Experience using and formatting Microsoft Office products, including Word, Excel, and Outlook. Knowledge in public procurement processes, policies, and procedures. Experience using an integrated financial and payment system with an emphasis on receiving, entering data and compliance.

Other: Valid driver's license required. Applicants accepting a job offer must pass the following pre-employment exams in this order: physical exam/screening, and at a randomly announced time, pass a drug test. Once at the Staff Training Academy, must successfully complete the fully paid NDCS Training Program.
