Accountable and Reports to: Director of Transportation Logistics

Positions that Report to you: None

Primary Duties and Responsibilities:

  • Reports to work when scheduled and on time. Adheres to company policies and departmental guidelines.
  • Performs clerical functions including but not limited to: filing, copying, posting, spreadsheet, data entry, assembling and distributing paperwork, answering busy phones.
  • Schedules and coordinates both pick-up and delivery appointments for backhaul, and contract freight orders. Enters times, release numbers and all other pertinent scheduling information into Prospero system. Maintains customer scheduling information in Prospero including entering and updating hours of business, appointment requirements, and time preferences.
  • Performs administrative functions for WMS and Prospero related tracking and closing orders. Troubleshoots problems and makes modifications to effectively resolve issues.
  • Issues Com Data when needed.
  • Sorts and segregates all paperwork returned by PDI drivers each day and distributes paperwork to the proper areas of the office.
  • Serves as back-up for Transportation Administrative Assistant and Contract Freight Coordinators.
  • Handles and investigates past-due invoices.
  • Helps customers with inquires about load tracking and Invoicing errors related to paperwork.
  • Works closely with accounting to invoice customers.

Secondary Responsibilities and Frequency:

  • Other duties as assigned by management.

Knowledge, Skills, Abilities, and Worker Characteristics:

  • Good verbal communication, phone, and interpersonal skills.
  • Strong administrative and office clerical skills, organizational, attention to detail and follow through, prioritization and multi-tasking capability.
  • Good computer skills with adaptability to multiple systems, spreadsheet, and data entry computer skills.
  • Strong customer service skill with phone etiquette
  • Understanding of transportation logistics is a plus.

Education and Experience:

  • High school diploma or equivalent required.
  • 1 year clerical or office experience preferred.

Physical Requirements:

  • This job is considered sedentary to light in nature according to the Department of Labor Weight Classifications with the primary functions of the job being sedentary in nature. This is considered a semi-skilled position. Frequent to constant handling of papers, constant listening and talking, use of computer requiring finger dexterity.

Working Conditions:

  • Office (climate controlled)
  • May be required to go across warehouse dock to warehouse office while encountering cold temperatures (35 to -8) and warehouse conditions.
