Job description

Lawyers on Demand, a Consilio Company, is actively seeking a contract Facilities Assistant for an on-site assignment with one of our law firm clients in Washington, DC.

Start: ASAP once interviewed and selected

Pay Rate: $25-28/hour

Location: 5 days per week on site in Washington, D.C.

Duration: open-ended, potential for contract-to-hire for the right individual

Main Responsibilities:

  • Assists with monitoring internal request mailbox. Responding to requests and questions following the departmental procedures.
  • Utilizes building ticketing system to convey requests/complaints regarding lighting, HVAC, etc. to the building management and the building engineers.
  • Kastle card/fob management.
  • Performs intra office moves in collaboration with the Facilities Coordinator, with direction from the Facilities Manager.
  • Clean out vacated offices. Arranges detailed cleaning by dedicated day porters.
  • Ensure all unassigned areas are kept clean.
  • Performs picture, white and bulletin board hanging as needed.
  • Assists with set up for events, Trials/hearings.
  • Brings all maintenance-related issues to the attention of the Facilities Manager.
  • Prepares and maintains offices and other workspaces for new hires, office moves, and departures.
  • Follows up with each function to ensure all details have been handled.
  • Installs office signage for new employees.
  • Timely removal of office signage after employee transfers/departures, and frequently checks to ensure that all name plates are accurate and up to date.
  • Meets and gives direction to contractors as needed under overall direction of the Facilities Manager.
  • Develops and maintains professional and cooperative working relationships with all staff and attorneys.
  • Participates in yearly goal setting with Manager. Meets or exceeds yearly goals, seeking managerial guidance and support as necessary.
  • Has a thorough knowledge of departmental and Firm procedures. Follows all policies and guidelines.
  • Reports to Facilities Manager upon completion of assigned tasks.
  • Must be flexibile with shift hours and timing of meal and rest breaks, in accordance with workload.
  • Arrange and set up furniture and games as needed to support meetings and events.
  • Submits signed employee Fitness Center and garage bike parking waivers to property management to obtain Kastle access.

Qualifications:

  • Kastle system proficiency strongly desired.
  • Must be organized, efficient detail-oriented, good follow-through and possess excellent customer service skills.
  • Must be able to take direction.
  • Must be able to work in a fast-paced environment.
  • Protects operations by keeping information confidential.
  • Regular predictable attendance required.
  • It is necessary to have excellent interpersonal and communication skills, both written and oral to plan, schedule and complete projects and effectively communicate with a diverse group of attorneys and staff.
  • Must be able to work with minimal supervision and be a team player.
  • High school diploma or equivalent is required.
  • Previous Facilities experience a plus.
  • Experience with Microsoft Office Suite and Microsoft Word is beneficial.
  • Must be able to work evenings and weekends, when required.
  • Must be able to use the telephone, PC and, when necessary, make copies and scan documents from a convenience machine.
  • The employee is also frequently required to lift and climb a tradesman’s ladder. Must be able to routinely lift and carry up to 55 lbs., and occasionally up to 100 lbs., including furniture and boxes. Frequently required to crawl, bend, stoop, reach, walk, including the use of staircases, push, pull, lift, and grasp.
