Position Purpose- Evaluate contracts received from various sources, obtain related Certificates of Insurance, coordinate approval of contracts, issue completed contracts to applicable parties, input contract data in tracking system and file related documentation electronically. Work with various teams regarding acquisition & divestiture processes. Complete additional departmental responsibilities, as assigned. Ideal candidate would have a strong customer service focus with a keen sense of urgency and commitment to executional excellence, accountability and team work; would be self-motivated and detail oriented; able to work on multiple projects at one time in a fast-paced environment; have a desire to read, evaluate and process contracts on a daily basis; willing to commit the hours to complete the job at hand; and flexible to changing priorities.

JOB DUTIES AND RESPONSIBILITIES

  • Manage the full contract lifecycle for a growing portfolio of hospitality properties, ensuring timely review, execution, renewal, and archival of agreements.
  • Maintain and optimize the company's contract management system by ensuring contracts, amendments, and supporting documentation are organized, accurately indexed, and easily retrievable.
  • Perform routine contract audits to validate data integrity, ensure contract completeness, identify missing or expired agreements, and maintain compliance with company standards.
  • Lead ongoing contract cleanup and organization initiatives to improve reporting accuracy, searchability, and operational efficiency across the contract repository.
  • Leverage artificial intelligence tools and emerging technologies to streamline contract administration, improve data extraction and analysis, automate routine processes, and enhance overall team productivity.
  • Partner with Legal, Operations, Risk Management, Finance, and other business stakeholders to facilitate contract execution and ensure compliance with company policies.
  • Monitor contract expiration dates, renewal terms, insurance requirements, and key obligations, proactively communicating upcoming deadlines to business partners.
  • Develop and maintain contract templates, standard operating procedures, and documentation to support consistency and process improvement.
  • Generate reports and dashboards related to contract status, audit findings, system utilization, and portfolio metrics for leadership.
  • Assist with due diligence activities for acquisitions, dispositions, and new management agreements by organizing and auditing contract documentation.

EDUCATION AND EXPERIENCE

  • Bachelor's degree in Business Administration, Legal Studies, Hospitality Management, or a related field preferred. Equivalent work experience considered.
  • Two (2) or more years of experience in contract administration, contract management, legal support, compliance, or a related business function.
  • Experience working with Contract Lifecycle Management systems or document management platforms preferred.
  • Strong organizational skills with the ability to manage large volumes of contracts and documentation while maintaining exceptional attention to detail.
  • Experience conducting document reviews, contract audits, or data validation activities preferred.
  • Proficiency with Microsoft Office Suite, particularly Excel, Word, and Outlook.
  • Experience utilizing AI tools or emerging technologies to improve workflow efficiency and automate routine administrative tasks is preferred.
  • Strong analytical, problem-solving, and critical thinking skills with the ability to identify process improvement opportunities.
  • Excellent verbal and written communication skills with the ability to collaborate effectively across corporate departments, hotel operations, vendors, and property owners.
  • Ability to manage multiple priorities, meet deadlines, and adapt in a fast-paced, growing hospitality environment.
  • Experience supporting acquisitions, divestitures, or multi-location operations is a plus.
  • Demonstrated commitment to confidentiality, professionalism, and delivering high-quality customer service.
