Through our direct-to-consumer channels and major retail partners, including TJX (HomeGoods, HomeSense, Marshalls, TK Maxx, and Winners) and Walmart, we serve customers across the globe.


Role Summary

This hybrid role drives Smard Art's creator and collaboration ecosystem while providing direct executive support to leadership. The person in this seat owns the full partnership pipeline and CRM and also functions as the operational right hand to the executive they support. Outreach is the core engine of the role: prospecting, first contact, and relationship-building drive both the partnership pipeline and the executive's external network.


Responsibilities

1. Collaboration Partnerships

  • Research and identify collaboration prospects aligned with monthly business priorities
  • Lead outreach through email, professional networks, and social platforms
  • Build and nurture long-term relationships with collaborators
  • Coordinate introductory meetings and partnership conversations
  • Support proposal development and partnership negotiations
  • Manage collaboration timelines from initial outreach through launch
  • Maintain an active pipeline of future collaboration opportunities


2. Creator Partnerships

  • Own sourcing, outreach, onboarding, and day-to-day management of creators supporting Smard Art initiatives, including UGC campaigns, Creatorthons, Smard Art House, community activations, brand campaigns, product launches, content production, and cultural events
  • Serve as the primary point of contact for creator communication throughout each partnership


3. Partnership Operations

  • Own operational execution of creator and collaboration partnerships from agreement through completion: creator communication, timeline management, deliverable tracking, asset collection, documentation, internal coordination, contract coordination, launch readiness, post-launch follow-up, gifted partnership coordination
  • Maintain an exceptional creator experience throughout every engagement


4. Partnership Pipeline and CRM Ownership

  • Own the running, development, and health of Smard Art's creator partnership ecosystem: pipelines, CRM records, relationship history, outreach tracking, opportunity management
  • Maintain visibility across collaboration partnerships, creator partnerships, UGC partnerships, event talent, active outreach, and future opportunities
  • Improve and build scalable systems for the Brand and Community team to track activity, history, opportunities, and execution status


5. Weekly Partnership Reporting

  • Deliver weekly pipeline report: new outreach completed, active opportunities, meetings scheduled, status updates, response rates, partnerships secured, upcoming launches, outstanding deliverables, risks, and recommended next steps
  • Maintain reporting accuracy to support department planning and decision-making


6. Brand and Partnership Materials

  • Develop and maintain proposals, creator briefs, outreach templates, one-pagers, presentation materials, internal trackers, creator profiles, CRM documentation, launch checklists, and operational resources


7. Executive Assistant Support

  • Manage the executive's calendar: scheduling, prioritization, and conflict resolution across partnership meetings, internal syncs, and external commitments
  • Prepare the executive for meetings: briefing documents, agendas, background on partners or creators, talking points
  • Draft, proofread, and manage correspondence on the executive's behalf, including partnership-related emails requiring executive sign-off
  • Coordinate travel arrangements and logistics tied to partnership events, activations, or external meetings
  • Coordinate cross-functional scheduling between the executive, the Brand and Community team, and external partners
  • Handle ad hoc administrative requests as they arise, with discretion around confidential or sensitive information


Qualifications

  • 2-4 years in partnerships, influencer marketing, business development, or executive support
  • Demonstrated track record of managing outreach at volume and converting cold contacts into active relationships
  • Prior experience in fashion, art, culture, or lifestyle brand spaces
  • Existing network of creators, collaborators, or industry contacts
  • Excellent written and verbal communication, with the ability to represent the brand professionally in both creator-facing and executive-facing correspondence
  • Strong organizational skills and ability to manage multiple pipelines, timelines, and priorities simultaneously
  • Proficiency with CRM tools and pipeline management systems (e.g., HubSpot, Notion, or similar)
