Job description

Corporation Secretary/Accounts Payable


This position monitors the payments to all of the corporation vendors, reviews invoices, processes all

incoming mail and distributes accordingly. As the Corporation Secretary you will route incoming phone

calls to the appropriate staff member and assist any visitors that may come to the Corporation Office.

Duties may include but not be limited to:

 Manage the front door, visitors and phones.

 Pick up U.S. and interschool mail daily, open and distribute to corporation staff.

 Maintain postage meter and send certified mail.

 Oversee and report all workman’s compensation claims and student accident reports.

 File new hire paperwork, teacher contracts, intent to return to work forms,

donation/fundraising forms, and emergency contact forms.

 Shop for office supplies and process rebates.

 Prepare and distribute EPCSC event passes for Corporation Staff and Bus Drivers.

 Add Disclaimer on Electronic Flyers.

 General office assistance.

 Process and input purchase orders, mail to vendors and send copies to school for verification of

receipt. Collect necessary signatures.

 Prepare utility bills for Deputy Treasurer to be paid in a timely manner.

 Verify and process invoices for payment.

 Input invoices into docket for the board to approve and pay.

 Assist vendors and school personnel with questions concerning purchase orders and payment

status.

 Maintain Purchasing Platform for corporation users to order supplies.

 Manage W-9 and Certificate of Insurance affidavits in financial software. Mail claim checks after

verifying vendors are compliant.

 Other duties as assigned by the Director of Business Affairs or Superintendent.

Reports to: Director of Business Affairs and Human Resources

Work Period: 260 days/year

Qualifications: Clerical and accounting experience, strong computer skills, displays excellent

verbal and written skills. Requires the ability to multi-task in a fast paced work

environment.
