Job description

Job Summary:
To ensure that the finished product leaving the company meets the requirements of the customer as defined by the customer's purchase order, scope of work, or special instructions. The Production Coordinator I will perform administrative functions pertaining to the operation of the company and the safety of company personnel.
Primary Duties & Responsibilities:
โ€ข Data entry for service work and engineered product with attention to detail and timely execution
โ€ข Coordinate field service ensuring that technicians assigned have proper credentials to enter customer sites, including scheduling Safety Council training
โ€ข Input purchase orders for materials required to complete orders and issue POs to vendors
โ€ข Routinely communicate with vendors to monitor delivery dates
โ€ข Communicate with the customer any unforeseen delays or issues with the field service order
โ€ข Confirm terms & conditions on the customer's PO matches the sales order to ensure accurate billing
โ€ข Release appropriate lines for invoicing and attach proof of delivery to sales order
โ€ข Process invoices and distribute them via mail, email, or customer portal
โ€ข Enter Field Service Report hours into ADP daily
โ€ข Enter hours onto Field Service Man Hour Tracking Spreadsheet
โ€ข Approve time for all technicians and temps on ADP for each pay period
โ€ข Update Contract Labor report weekly and send to corporate
โ€ข Perform other administrative duties as required
Positional Requirements & Qualifications:

o HS Education or GED equivalent
o Solid understanding of basic bookkeeping and accounts receivable principles
โ€ข Skills & Abilities:
o Successful completion of Channel Connect Valve University 1, 2, and 3 for assigned product vertical(s)
o Successful completion of shop orientation hours for assigned product vertical(s)
o Demonstrate understanding and compliance with all applicable quality standardization procedures
o Successful completion of Technical 101 training for assigned product vertical(s)
o Successful completion of the Customer Service Soft Skills training class
