About the Role:

3D Group is looking for a driven and detail-oriented Commercial Construction Project Coordinator to join our growing team in Holmdel, NJ. This is an exciting opportunity to play a key role in managing commercial construction projects from start to finish while working alongside a talented and dedicated crew. The ideal candidate will assist in overall project management from preconstruction through post construction. Including but not limited to the tasks listed below. The role is intended for a self-starter who is self-motivated and eager to gain in-depth knowledge of the overall workings of a construction project.

Responsibilities: The following statements are intended to describe the general nature and level of work being performed by individuals assigned to this position. They are not intended to be an exhaustive list of all duties, responsibilities, and skills required of personnel so classified.

ยท Provide Administrative Support to Office Staff, Project Managers and Field Superintendents

ยท Assist with project administration deliverables including RFIs, Submittals, Closeout Documents within Project Management Software, Red Team

ยท Assist with all safety documentation and promote safe culture.

ยท Create and maintain project files, both electronically and hard copies

ยท Prepare and distribute project memoranda.

ยท Assist subcontractors with gaining appropriate security access to job sites; maintain discretion in the handling and submission of confidential information.

ยท Correspond with Subcontractors regarding required paperwork.

ยท Assist with answering telephones.ยท

Project Invoicing

ยท Review client contracts for billing requirements; allowable markups, fee structure, retainage, waivers, tax requirements, shared savings, etc.

ยท Manage subcontractor progress billings and documents for compliance and timely submittal.

ยท Review and post subcontractor monthly progress billings

ยท Manage subcontractor payments.

ยท Maintain billing contract format (G702, G703 format)

ยท Prepare system generated client requisitions and provide necessary backup.

ยท Monitor accounts receivable and support with collection efforts.

Estimating

ยท Assist in the preparation of detailed conceptual budgets and estimating from pre-construction, concept design, schematic design and design development documents.

ยท Assist in take-offs of all trades. Assist with the entire bid process (construction management and general contractor) inclusive of preparation of detailed bid package.

ยท Ensure accurate and proper submissions & proposals by all subcontractors.

ยท Build and maintain vendor relationships.

ยท Level subcontractor bid proposals for accuracy and scope gaps

ยท Prepare scope of work documentation by division

ยท Attend on-site walk-throughs as needed.

Requirements:

2+ years of experience in commercial construction project coordination or a related role

Familiarity with construction documents, blueprints, and project management software

Strong organizational and multitasking skills with exceptional attention to detail

Excellent written and verbal communication skills for client and subcontractor coordination

Proficiency in Microsoft Office Suite; experience with Procore or similar platforms a plus

Ability to work both in-office and on job sites as needed

Associate's or Bachelor's degree in Construction Management, Engineering, or related field preferred
