Job Description
Hoefer Welker is looking to fill the role for Construction Administration Coordinator. The ideal candidate for this role shall have thorough understanding of construction process and all of the associated documents and have the ability to process and track all project information throughout the Construction Administration process while being highly organized with excellent communication skills.
Essential Responsibilities:
Assist Construction Administration Manager (CAM) in tracking and managing project information
  • Manage submittal packages and RFIs
  • Organize and maintain project samples
  • Large document distribution
  • Assist with creating Field Reports, Punch List reports, and other project documentation
  • Oversee and manage company archiving of electronic/paper project documents and samples
  • Subject matter expert for TonicDM and be responsible for company- wide TonicDM training, technology and PPE distribution.

Train new employees in TonicDM
Assist with Administrative team back up duties including, but not limited to:
  • Provide regular backup support for front desk coverage (answer incoming phone calls, greet visitors, etc.)
  • Provide backup support for general office management needs including supplies, conference room organization/clean up, etc.

Job Requirements
Education/Experience: A minimum of a high school diploma with some college coursework preferred. Experience in the Construction Process highly desirable.
Qualifications/Skills:
Proficiency in TonicDM preferred but not required. Microsoft Office, Deltek Vantagepoint, and Smartsheet knowledge preferred. Experience with Bluebeam and Software Interaction Procore, AUTODESK Forma and contractor-specific portals. Must be able to maintain detailed and organized files.

  • Works well under pressure with multiple tasks and deadlines
  • Must demonstrate a high level of accuracy and stable and dependable work performance
  • Responds in a timely manner to vendors, consultants, and staff with good written and verbal skills
  • Ability to multi-task and meet deadlines while handling the "on-demand" nature of the role
