Job Summary

The Conference Coordinator is responsible for managing assigned meetings and events from booking through execution readiness. The Coordinator serves as the primary point of contact for clients and stakeholders, ensuring calendar accuracy, event readiness, and effective communication of event requirements. The Coordinator collaborates with internal service partners to ensure meeting requirements are fully documented, communicated, and prepared in advance of the event.The Conference Coordinator must work effectively both independently and as part of a team while managing multiple priorities in a fast-paced environment.

Essential Duties and Responsibilities: 

• Serve as the primary coordinator for assigned meetings, events, activations, and conference center programs.

• Manage assigned reservations from initial assignment through event completion, ensuring all event details remain accurate and current.

• Maintain calendar integrity by reviewing reservations for accuracy, completeness, conflicts, and appropriate space utilization.

• Conduct event readiness reviews to ensure all meeting requirements, support services, and stakeholder expectations have been identified and communicated.

• Respond to client inquiries, requests, and event changes in a timely and professional manner.

• Partner with internal service providers including catering, audiovisual, facilities, security, and workplace services to coordinate event requirements.

• Provide consultative support to clients regarding meeting spaces, available services, event logistics, and campus resources.

Qualifications: 

• Outstanding customer service skills

• Superior verbal and written communication skills

• Strong organizational skills with the ability to manage multiple priorities simultaneously

• Experience working with reservation or event management platforms

• Communications, Hospitality, Event Management, Workplace Experience, or related background preferred

• Highly proficient with Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)
