Job Description

The Convention Services Manager oversees the planning and execution of group meetings, conventions, and events from the time the contract is signed until the event concludes. This position works closely with clients and all hotel departments to ensure a seamless event experience, exceptional guest satisfaction, and operational excellence.

Job Responsibilities
  • Serve as the primary point of contact for clients after contracts are executed.
  • Plan, organize, and coordinate all aspects of meetings, conventions, weddings, and special events.
  • Conduct pre-planning meetings and site visits with clients.
  • Prepare and distribute Banquet Event Orders (BEOs), group resumes, and event timelines.
  • Lead pre-convention meetings with hotel departments to review event details and expectations.
  • Coordinate with Food & Beverage, Banquets, Housekeeping, Engineering, Front Office, Audio Visual, and Security teams.
  • Monitor event execution to ensure all services are delivered accurately and on schedule.
  • Respond promptly to client requests and resolve issues before and during events.
  • Perform daily event inspections to ensure meeting rooms and event spaces are properly set.
  • Communicate last-minute changes to all departments.
  • Ensure compliance with hotel policies, brand standards, and safety procedures.
  • Build strong relationships with clients to encourage repeat business and positive referrals.
  • Assist with post-event billing reviews and client follow-up.
  • Delivers flawless execution of meetings and events.
  • Builds lasting relationships with clients.
  • Maintains high guest satisfaction scores.
  • Ensures accurate event documentation and communication.
  • Supports hotel revenue goals through exceptional service and operational efficiency.
  • Leads by example while fostering teamwork across all hotel departments.
Qualifications
  • Bachelor's degree in Hospitality Management, Business Administration, or a related field preferred.
  • Two to five years of hotel convention services, banquet, catering, or event management experience.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication abilities.
  • Ability to manage multiple events simultaneously in a fast-paced environment.
  • Proficiency with hotel property management and event management systems (such as Delphi, CI/TY, or similar software).
  • Strong leadership, problem-solving, and customer service skills.
  • Flexible schedule, including evenings, weekends, and holidays as business demands.
  • Ability to stand and walk for extended periods.
  • Ability to inspect indoor and outdoor event spaces.
  • Occasionally lift or move up to 25 pounds.
  • Work in a fast-paced environment with frequent interruptions.
  • Exceptional attention to detail.
  • Ability to work collaboratively across multiple departments.
  • Strong negotiation and conflict-resolution skills.
  • Financial awareness, including budgeting and revenue management.
  • Ability to remain calm under pressure while delivering outstanding guest service.
