SUMMARY
The Catering and Conference Service Coordinator ("Coordinador/a de Servicios de Catering y Conferencias") supports all managers in the Catering & Conference Services Department in coordinating the arrangements and booking for group meetings and conferences, in a manner that is consistent with company commitment to excellence in service.

ESSENTIAL DUTIES
  • Provides clerical, administrative and organizational support to catering and Conference Services functions and events in a professional and enthusiastic manner.
  • Creates menus, food labels, door cards and signage for groups, as needed. Courteously and professionally answers all incoming calls and takes messages when needed.
  • Promptly logs and distributes catering leads while obtaining the necessary information from each inquiring guest.
  • Always smiles and greets guests in a courteous manner and promotes a positive, guest-oriented attitude among other employees.
  • Prepares and distribute a weekly pilot (program of arrangement of events, both in-house and client functions) that consists of BEO sheets for every function happening that week to all departments throughout the property.
  • Completes and distributes banquet event orders as necessary, daily memos, notices, and change notices for all department heads.
  • Demonstrates strategic thinking and ability to understand how individual tasks connect to broader organizational objectives.
  • Adapts quickly to shifting priorities in a fast-paced operational setting.
  • Assists with the set up and coordination of pre-conference meetings.
  • Assist in building and maintaining vendor/client relations.
  • Assists with group room coordination and the preparation of group resumes.
  • Performs additional duties and responsibilities as directed by the leadership team.

QUALIFICATIONS
  • At least 1-2 years of relevant experience and/or training.
  • A combination of experience, education, and/or training may be substituted for either requirement.
  • Previous similar position in a hotel, or similar business entity preferred.
  • Availability to work on weekends and holidays is required.
  • Delphi and Delphi Diagram knowledge is preferred.
  • Must be able to attain a valid San Diego County Food Handler certification upon hire. Evans Hotels will provide this training and is to be completed at the company's expense.
  • RBS Certification required.
  • Ability to always maintain a friendly, professional, team-oriented, positive demeanor and diplomatic attitude, especially under stress or challenges.
  • Ability to stand, kneel, squat for prolonged periods of time, up to and including, the entire shift and lift up to 25 lbs.
  • The following position will be filled in accordance with the process set forth in California Labor Code Section 2810.8 and San Diego Municipal Code 311.0101 et. seq.
