Devine Millimet seeks a full-time Receptionist to join our team. The successful candidate will project a professional image and provide outstanding customer service to our clients, visitors and colleagues, while being a positive team player. The role requires multitasking, dependability, and organizational skills along with the ability to follow established procedures. This position is 100% on site in our Manchester, NH office.

Requirements

  • Welcoming clients and visitors upon arrival at reception; offering coffee or water
  • Observing business etiquette, and maintaining a professional appearance
  • Notifying legal staff of client arrival and directing clients as needed
  • Answering, screening, and forwarding phone calls in a professional manner, including coordinating multiple calls at the same time
  • Directing the flow of mail, faxes, and deliveries to reach the intended recipients
  • Maintaining a clean, organized, and welcoming reception area, conference rooms, and      visitor spaces
  • Manage and prepare conference rooms for meetings
  • Ordering office supplies
  • Organizing materials for scanning  
  • Mailing client invoices and statements
  • Ordering lunches as needed for meetings, internal and external events
  • Sending invitations for firmwide events to internal staff and external invitees
  • Maintaining building security by monitoring visitor and vendor access, verifying identification, issuing visitor badges, and maintaining visitor/vendor logs.
  • Providing administrative support to the Operations team, attorneys, and staff as requested.
  • Assisting with special projects and office-wide initiatives.
  • Other duties as assigned by the Operations Manager
