Job description

Woodruff Arts Center employees play an integral role in creating and supporting great art and education initiatives at the nation's third largest arts center. Comprised of three Art Partners-Alliance Theatre, Atlanta Symphony Orchestra and High Museum of Art-there's a role for everyone at The Woodruff.

At the forefront of upholding the ASO's outstanding reputation for artist hospitality and of the Artistic Team's efforts to set all our artists up for success on stage, the Artistic Coordinator:
  • Plans, delivers or coordinates logistical, hospitality, wellbeing and backstage support for all ASO classical guest artists.
  • Plans and delivers dedicated logistical, hospitality, wellbeing and backstage support to the ASO Music Director for all Music Director weeks.
  • Nurtures positive relationships with Artist Managers.
  • Leads relationships with hotel and ground transport partners.
  • Provides administrative and operational support to the Artistic Team.

Compensation range: $45,000-$50,000
POSITION RESPONSIBILITIES:
General
  • Serves as primary contact with the ASO's partner hotels.
  • Serves as primary contact with the ASO's ground transport partners.
  • Collects complimentary ticket requests from all conductors and artists. Administers the Artistic complimentary ticket pool, including ticket allocation.
  • Administers and coordinates dressing room and production level practice/rehearsal spaces allocation for each Classical Week, and books spaces accordingly, coordinating with Production and Symphony Hall Live teams as required to secure availability.
  • Maintains the conductor's suite and artist dressing rooms, including stocking supplies, cleaning of the rooms, preparing and posting of dressing room signs, purchasing and laundering of towels and other personal materials, communicating all requests for maintenance of the rooms to the appropriate persons.
  • As assigned, assists the Artistic Team at post-concert hospitality events for guest conductors, artists, and/or the Music Director, both at Symphony Hall and other locations. When necessary, attends these events, providing any transportation and assistance needed by artists.

Guest Artists: guest conductors, guest soloists, guest composers
  • Coordinates and oversees arrival and departure arrangements for all ASO Guest Artists;
  • Books housing arrangements for all ASO Guest Artists 6 months ahead of engagements. Sends hotel booking confirmations to Artists / Artist Managers at least 14 days ahead of engagements.
  • Prepares welcome packs for guest artists, including access badges as required, and delivers packs to artists' hotels prior to their arrival.
  • Provides or coordinates ground transportation for guest artists, including airport arrivals and departures.
  • Establishes first contact with ASO Guest Artists on each arrival.
  • Acts as primary contact for all ASO guest artists during their engagements. Disseminates updates and schedule changes to guest artists. **
  • Ensures that all artists are present when required at rehearsals, concerts, and other associated activities. **
  • Communicates to all guest artists information about concert holds, give all guest artists the 10', 5' and 2' calls. Ensures all guest artists' timely arrival at stage level prior to rehearsals, recordings and concerts. **
  • Be on standby to assist guest artists while they are at Symphony Hall, including refreshment requests. **
  • When applicable, purchases and delivers meals for guest artists and assist them with any reasonable errands. **

** During Music Director weeks, and for weeks with multiple guest artists, the Artist Liaison will receive support from other members of the Artistic Team or from additional runners as required.
Music Director
  • Provides dedicated logistical, hospitality and well-being support to the Music Director for all ASO Music Director Week.
  • Provides ground transportation for the Music Director, including airport arrivals and departures. Coordinates ground transportation needs to/from her hotel with Music Director's Executive Assistant.
  • Maintains the conductor's suite, including stocking supplies, cleaning, purchasing and laundering of towels, communicating all requests for the cleaning or maintenance of the suite to the appropriate persons.
  • Is on standby to assist Music Director while she is at Symphony Hall, including refreshment requests. On request, purchases and delivers meals for Music Director and assists her with any reasonable errands.
  • Checks podium and stand positioning before each Music Director rehearsal or concert, places orchestra roster on stand before each Music Director rehearsal, places towel, refreshments near her podium as required.
  • Communicates information about concert holds to the Music Director. Gives her the 10', 5' and 2' calls to ensure her timely arrival at stage level prior to rehearsals, recordings and concerts.

QUALIFICATIONS:
  • Bachelor's degree preferred, or equivalent relevant experience
  • Valid driver's license in good standing
  • Strong knowledge of and passion for music
  • Performance experience and an understanding of the live concert environment preferred
  • Excellent verbal and written communication skills
  • Strong organizational and time-management skills
  • Positive attitude with a courteous, personable demeanor and a willingness to assist as needed
  • Strong Knowledge of Classical Music
  • Strong attention to detail

SPECIFIC CONDITIONS OF WORK:
The Artistic Coordinator is a full-time, exempt position, with default work hours from 9:30am to 5:30pm, and with many evening and weekend work hours to match orchestra's service calendar. While conditions may alter the amount of time spent on any one area and may also alter functions associated with the position, the time spent on the position responsibilities can be expected to be as follows:
Artist hospitality duties: 70%
Administrative duties: 30%
