We are looking for dedicated and organized Administrative Assistant to join our team. This role is essential by supporting, and providing administrative assistant with various tasks to ensure smooth operations. You will need to be an organized self-starter that is diligent, responsive, take initiative, work well independently, maintain a positive attitude and strive to maintain the company's culture. Have excellent communication, observant, very attentive to detail and computer literate. Demonstrate problem-solving skills, and a willingness to work alongside with other members throughout other departments. The ideal candidate will be handling daily clerical tasks, coordinate schedules, manage communications, and assist management with special projects to streamline overall workflow. Essential Duties:

  • Serve as the primary point of contact for internal and external clients, greet visitors, and manage the general day-to-day operations of the workspace.
  • Professionally answer phones, screen or route calls to corresponding personnel, and manage incoming emails, mail, and faxes. Draft memos, reports, and routine correspondence.
  • Write with proper spelling, punctuation, and sentence structure. Edit letters, prepare emails, reports and other documents must be proficient in a variety of styles, from creative to professional to technical and more.
  • Maintain complex calendars, schedule appointments, coordinate team meetings, and book travel arrangements when necessary.
  • Create and maintain physical and digital filing systems. Perform data entry, format documents, and assist in preparing scheduled reports.
  • Track and order office supplies, handle inventory, and coordinate with vendors or building management for equipment. maintenance
  • Assist with processing invoices, managing expense reports, and recording basic financial transactions..
