GENERAL SUMMARY:

The Move In Coordinator functions in a supportive role to the Community Relations Director and Community Relations Coordinator and acts as a trusted coordinator to potential residents, their families, and the surrounding community. His/her focus is to coordinate the move in process including but not limited to ensure all required documents are completed and communication completed and coordinated with resident, family, and community leaders. Additionally, the Move In Coordinator will maintain a strong knowledge of the community’s services, programs, team member’s backgrounds, talents and offerings which he/she can clearly convey to the potential residents and families and the outside community, and will facilitate and coordinate move-ins.

ESSENTIAL JOB FUNCTIONS:
  • Coordinate move in protocols with families, residents, referral sources, and community leaders
  • Ensure all required move in documents from physicians, families, and residents are completed and distributed to management team timely.
  • Serves as a trusted advisor to potential residents, families, and referral sources
  • Responsible for handling incoming inquiry calls, community tours, and establishing detailed follow up steps with prospects and families, in the absence of the Community Relations Director and/or Community Relations Coordinator as well as any overflow needs.
  • Assists in planning, hosting events, managing RSVP spreads, etc. for prospects and referral sources
  • Responsible for clear and frequent communication with team members on upcoming appointments, presentations, tours, and events
  • Responsible for detailed and accurate entry of all prospects, family, and referral source communications into Customer Relationship Management computer program
  • Responsible for remaining current on open inventory, pending move-ins and potential move-outs
  • Responsible for the move-in process from helping the resident chose their apartment, communicating requests for nursing assessment from Resident Wellness Director, paperwork signing from Executive Director, and apartment readiness from Environmental Services Director, collecting and distributing the move-in paperwork to ensure their move into the community is a successful, positive experience
  • Communicates move-in date with appropriate leadership team members for new resident welcome and orientation to the community
  • Follow company protocol for submitting proper requests for company-produced advertisement copy in a timely manner that is set forth by the company.
KNOWLEDGE, SKILLS AND ABILITIES:
  • Able to communicate effectively with all levels of management, team members, residents, family members, guests, vendors, referral sources, and outside contacts’
  • Basic computer skills, including but not limited to entering complete and detailed data into computer Customer Relationship Management program, and maintaining sales and marketing plan and competitive analysis spreadsheets
  • Knowledge of current Federal and State laws pertaining to IL, AL, MC communities
  • Able to make independent decisions
  • Must be able to communicate in a warm, friendly, and caring manner
  • Must be familiar with and adhere to guidelines related to the Fair Housing Act (FHA) and the American with Disabilities Act (ADA)
  • Must possess a passion to work with and around senior citizens
  • Knowledge of customer service principles and practices
EDUCATION REQUIREMENTS:
  • High School Diploma or equivalent
  • Bachelor Degree preferred

EXPERIENCE REQUIREMENTS:

  • Senior Living Sales experience (2 years preferred)
  • Public Relations/Advertising experience a plus

  • Occasionally lift/carry up to 50 pounds
OCCUPATIONAL EXPOSURE / PERSONAL PROTECTIVE EQUIPMENT:
  • Work in all areas of the community
  • Subject to reactions from dust, disinfectants and cleaning chemicals and may be exposed to infectious waste, diseases, and other conditions
  • Use personal protective equipment and supplies when needed to prevent burns, falls, and infection
  • Personal protective equipment includes infection control kit, rubber gloves and non-slip shoes
  • Subject to infectious diseases, substances, and odors
