Jewish Philanthropies of Southern Arizona (JPSA) is a mission-driven Jewish nonprofit dedicated to partnering with organizations, families and individuals to foster and enhance community and respond to those in need -- enriching Southern Arizona, the Jewish people and the world.


Position Summary


Responsible for administrative and systems support for all campaign team fundraising, engagement and development activities. Working closely with the campaign manager, database coordinator and event coordinator, prepares and executes a high volume of varied events. Attention to detail, flexibility and quick thinking are a must.

Essential Functions


  • Event/Meeting Management:
    • Support the planning, coordination and staffing of meetings and events in partnership with the Event Coordinator.
    • Manage event RSVP and payment collection processes through the CRM database.
    • Enter and maintain meetings and events in Miidas, Central Scheduling, the Community Calendar and CRM systems.
    • Coordinate department and advancement meetings, including scheduling conference rooms, preparing materials and recording meeting minutes.
    • Prepare event registration materials, including name tags, attendance sheets and branded materials.
    • Maintain event supplies and coordinate inventory restocking and reordering.
    • Build event registration forms and coordinate with marketing and design teams as needed.
    • Serve as a liaison with community partners on collaborative events.
    • Support the Advancement team by preparing fundraising materials and coordinating meetings.
  • Donor Communication:
    • Manage the donor acknowledgment process, including generating, reviewing, printing and distributing acknowledgment letters, tribute notifications and milestone communications.
    • Coordinate mail merges, printing and approval processes for donor statements and acknowledgments.
    • Communicate directly with donors and community members regarding event RSVPs, registration updates, questions and general inquiries, including front desk coverage as needed.
  • Administrative Support
    • Prepare and print pledge cards following established review procedures.
    • Liaise with the security team regarding vetting processes.
    • Support onboarding and orientation efforts for new staff members.
    • Order and manage office supplies, branded materials, and workroom inventory to ensure organization and operational readiness.
  • Database Support:
    • Support staff with CRM data entry and record management, including new accounts, pledges, constituent updates and ongoing data integrity maintenance.
  • Other:
    • Demonstrate JPSAs core values which include being flexible, open-minded, reliable, accountable, creative, a critical thinker, an effective collaborator, an open and respectful communicator, a good ambassador for the organization and ready to pivot as necessary.
    • Work evenings and weekends as needed to accomplish the essential functions of the role.
    • Other duties to accommodate evolving business needs.


Required Qualifications


  • Minimum of two (2) years of experience in a related role.
  • Strong organizational, administrative and project management skills with exceptional attention to detail and the ability to manage multiple priorities and deadlines.
  • Excellent interpersonal, communication and customer service skills.
  • Flexible, adaptable and able to navigate change effectively.
  • Demonstrated experience with data entry and database management; experience with web-based CRM systems required.
  • Experience coordinating event logistics and administrative support functions.
  • Advanced proficiency in mail merges and Microsoft Office applications, including spreadsheets, forms, calendaring, correspondence and online research.
  • Comfortable building relationships, initiating outreach and handling sensitive or challenging conversations professionally.
  • Strong technology skills with the ability and willingness to quickly learn new systems, tools and processes.
  • Ability to work early mornings, evenings and weekends as necessary.
  • Ability to legally work in the United States.
  • Ability to pass criminal background check.
  • Ability to provide a clean 39-month Motor Vehicle Report
