Summary

The Continuing Medical Education (CME) Specialist provides comprehensive programmatic, administrative, and operational support for the accredited CME program and related educational initiatives. Working closely with the CME Director, CME Chair, Department of Medical Education, and institutional stakeholders, the Specialist coordinates educational activities, manages accreditation and compliance processes, supports faculty development programming, and facilitates Continuing Medical Education (CME) and other professional learning opportunities. This role is integral to fostering a culture of lifelong learning, educational excellence, and continuous professional development across the organization. The Specialist ensures the successful planning, implementation, documentation, and evaluation of accredited educational activities while supporting strategic educational initiatives that enhance teaching, learning, and professional growth.

Experience

A minimum of 3 to 5 years of experience in a general office setting and/or special events coordination/management. Knowledge and skills in planning, budgeting, audio visual, learning management systems, Microsoft Office Suite, and event planning. Requires excellent communication (verbal, written & electronic) and problem-solving skills. Must be highly organized and able to provide superior service delivery while working in a fast-paced, detail-oriented environment and have exceptional analytical/critical thinking. Must be able to work with minimal supervision.

Education

Associates degree preferred. High School diploma or equivalent required.

Essential Functions

  1. Provides comprehensive administrative and operational support to the CME Director, CME Chair, CME Committee, and Department of Medical Education in advancing accredited continuing education and institutional educational initiatives.
  2. Collaborates with the CME Director, CME Chair, Department of Medical Education, CME Activity Directors/Coordinators, Graduate Medical Education (GME) leadership, and other stakeholders in the planning, development, implementation, and evaluation of educational programs and activities.
  3. Partners with the Department of Medical Education to support institutional educational priorities, faculty development initiatives, and programs that promote excellence in teaching, learning, and professional growth.
  4. Coordinates and administers faculty development programs, educational workshops, and professional development activities. Responsibilities include scheduling, speaker coordination, communications, reimbursement processing, audiovisual support, educational credit coordination, and activity evaluation.
  5. Identifies and supports opportunities for accredited and non-accredited educational programming, including CME activities, educational conferences, faculty development offerings, and continuing professional development initiatives.
  6. Promotes a culture of lifelong learning and educational excellence by facilitating communication, engagement, and participation among faculty, learners, healthcare professionals, and other stakeholders.
  7. Learns, applies, and supports accreditation standards and processes to maintain compliance with CME accreditation requirements and other applicable regulatory standards.
  8. Maintains accountability for assigned projects, ensuring all deadlines, accreditation requirements, reporting obligations, and deliverables are completed accurately and on schedule.
  9. Provides webinar and virtual event production support for live and enduring educational activities, including those offering CME and other continuing education credits.
  10. Collects, reviews, edits, and maintains all required documentation for assigned educational activities, including announcements, disclosures, presentations, handouts, evaluations, accreditation materials, and other supporting documents.
  11. Maintains records, databases, and reporting systems related to CME activities, educational programs, accreditation compliance, evaluations, learner participation, faculty engagement, and continuing education credits.
  12. Requests, collects, organizes, and manages documentation from learners, faculty, presenters, planners, and other stakeholders to ensure compliance with accreditation and institutional requirements.
  13. Assists in the preparation of annual accreditation reports, compliance reviews, self-studies, reaccreditation documentation, and other required submissions.
  14. Ensures receipt, review, and completion of all required documentation and materials prior to scheduled activity start dates.
  15. Administers assigned budgets by monitoring expenditures, analyzing financial data, preparing reports, identifying variances, and providing recommendations to support sound fiscal management.
  16. Develops and implements strategies to support successful educational activities, including venue selection, faculty coordination, instructional resources, marketing plans, audience engagement, and promotional efforts. Assists with the development of educational content descriptions and marketing materials that highlight innovation, expertise, and program excellence.
  17. Provides logistical and operational support for educational programs, conferences, workshops, symposiums, and special events, including onsite coordination when required.
  18. Collaborates with the Department of Medical Education and organizational leadership to collect, analyze, and report educational outcomes data to support continuous quality improvement, accreditation requirements, faculty development initiatives, and institutional educational goals.
  19. Supports educational scholarship, innovation, and quality improvement initiatives related to continuing professional development, medical education, and lifelong learning opportunities throughout the organization.
  20. Exercises sound judgment and escalates issues requiring leadership guidance, interpretation, or intervention in a timely manner.
  21. Partners with Graduate Medical Education (GME) programs, residency and fellowship leadership, and departmental stakeholders to develop, coordinate, and support specialty-specific symposiums, educational conferences, and advanced learning experiences that showcase clinical excellence, innovation, and scholarly activity.
  22. Collaborates with GME programs and institutional leaders to expand regional and national educational offerings, promoting Guthrie's reputation as a leader in medical education, professional development, academic scholarship, and healthcare innovation while attracting attendees from across the region and country.
  23. Maintains knowledge of current trends, best practices, accreditation standards, and emerging developments in continuing medical education, faculty development, and medical education through professional reading, networking, conferences, and participation in relevant professional organizations.

Other Duties

Participates in departmental/hospital committees and taskforces. Ability to travel to other Guthrie entities and offsite event venues as needed.
