About the Job
We are looking for a talented Commissary Administrator/Distribution Manager for Las Vegas!! Fantastic growing bakery brand! The Commissary Admin & Distribution Manager is responsible for overseeing the daily administrative, production support, inventory, purchasing, and distribution operations of the commissary. This leadership role ensures efficient workflow, accurate administrative processes, timely deliveries, effective inventory management, and exceptional support for production, this position. Reports directly to the Director of Production & Quality.
Essential Responsibilities for Commissary Admin & Distribution Manager
Administrative & Payroll Support:
  • Monitor employee timecards daily for missing punches, meal breaks, overtime, and scheduling discrepancies.
  • Coordinate payroll corrections and submit approved discrepancy forms to Human Resources.
  • Assist with payroll approvals and pay period processing.
  • Prepare Personnel Action Forms (PAFs) for:
    • New hires.
    • Promotions.
    • Pay adjustments.
    • Transfers.
    • Rehires.
    • Terminations.
Purchasing & Inventory Management:
  • Place and monitor vendor orders.
  • Enter daily invoices and maintain purchasing records.
  • Track commissary waste and production loss daily.
  • Assist with weekly inventory counts and reporting.
  • Maintain inventory accuracy and proper stock levels.
  • Order specialty products according to established PAR levels.
  • Coordinate credits, shortages, and purchasing concerns with vendors.
  • Collaborate with Purchasing regarding:
    • Inventory levels
    • Vendor performance
    • Credits
    • Product availability
  • Partner with Finance to resolve:
    • Invoice discrepancies
    • Pricing concerns
  • Identify opportunities for continuous process improvement throughout commissary and distribution operations.
Production Support:
  • Print daily production reports, packing lists, logs and checklists for production teams on each shift.
  • Process special orders received through commissary email.
  • Support production teams to ensure timely fulfillment of all orders.
  • Maintain daily production logs and checklists for the commissary and weekly production logs for all full-production shops.
  • Verify daily the completion of all logs and checklists for commissary and producing shops.
  • Verify daily the submission of all quality photographs submitted by commissary and producing shop.
  • Provide daily email summary to President and Director of Production & Quality with the following (see template below to be used) from the day prior's results:
    • By location, baked goods produced vs forecasted
    • By location, compliance with logs, checklists
    • By location, shop compliance submitting quality pictures
    • Assessment of quality based on pictures
Frequency and need of information contained within this report will be adjusted based on shop compliance.
  • Support the Director of Production & Quality with New Store Openings (NSOs) and other operational initiatives.
Distribution & Logistics:
  • Manage all daily doughnut deliveries throughout Las Vegas and surrounding areas.
  • Develop and optimize delivery routes to maximize efficiency.
  • Ensure deliveries arrive:
    • On time
    • Within delivery windows
    • In excellent condition
  • Monitor distribution performance metrics including:
    • On-time delivery
    • Transportation costs
    • Route efficiency
    • Inventory movement
Fleet & Equipment Management:
  • Oversee maintenance and cleanliness of all delivery vehicles, including ensuring that all cleaning and maintenance logs are completed correctly and on time.
  • Coordinate daily inspections of all vehicles once returned from delivery routes.
  • Coordinate truck repairs and rental agreement compliance.
  • Resolve lift gate and equipment issues promptly.
  • Maintain function and cleanliness of all delivery equipment including:
    • Speed racks
    • Dollies
    • Rack covers
    • Baking sheets
  • Ensure proper storage and accountability of all distribution equipment.
Driver Leadership:
  • Supervise day-to-day activities of the drivers.
  • Create and manage driver schedules.
  • Ensure compliance with:
    • Company safety policies
    • Fuelman procedures
    • TrackTik requirements
    • Vehicle inspections
    • Delivery documentation
  • Hold drivers accountable for performance, safety, and customer service standards.
  • Partner with Security to investigate vehicle accidents and workplace injuries.
Leadership & Communication:
  • Work closely with Production team, Retail Operations, and Distribution teams.
  • Maintain clear and timely communication through meetings, reports, and email.
  • Develop efficient systems that improve workflow, productivity, and service.
  • Promote a culture of accountability, teamwork, and operational excellence.
Qualifications for Commissary Admin & Distribution Manager
Certifications:
  • Must obtain and maintain:
    • Clark County Food Handler Card
    • ServSafe Manager Certification
Physical Requirements & Working Conditions:
  • Continuous standing and walking throughout the shift.
  • Frequent bending, lifting, and carrying up to 50 pounds.
  • Ability to safely work in a fast-paced production and distribution environment.
  • Frequent interaction with employees, vendors, and retail teams.
  • Must be available to work early mornings, evenings, weekends, holidays, and additional hours as business needs require.
Ability to maintain professional appearance and comply with company uniform and hygiene standards.
