The Administrative Coordinator โ Finance is responsible for administratively supporting the CFO and Controller. This includes the production of the Board of Directors materials, departmental presentations, manager meeting preparation, and filing, and compiling departmental reports. This position requires the ability to manage multiple projects. The Administrative Coordinator - Finance must maintain and uphold a professional appearance and exemplary work ethic that is conducive to promoting a positive image on behalf of CommerceWest Bank.
Essential Functions:
- Prepare the minutes of the Bank and Holding Company board meetings.
- Prepare agendas for Bank and Holding Company board meetings. Communicate board meeting agenda items to the various management team members and coordinate the collection of these items for the board meetings.
- Prepare the minutes of the quarterly board committees, including Audit, Finance, Credit, and Executive. Also prepares the minutes of management level committees including IT Steering, Credit and ALCO.
- Prepare board and committee packages for distribution to the Board and members of the management team.
- Prepare the monthly Corporate Managers Meeting deck and other presentations required by management.
- Maintain corporate records, including the board policy calendar, board packages, board and committee meeting minutes, signed stock option grants, signed D&O Questionnaires, etc.
- Scan reviewed month end closing documents for the Bank and the Consolidated Company. Scan all schedules and supporting documents for the Call Report. Scan all documents and support schedules for the Audited Financial Statements.
- Coordinate record retention. Send files to storage or retrieve items, as necessary.
- Assist the CFO with internal audit, external audit, and examination information requests.
- Other duties as assigned.
- Minimum of 1-3 years of coordinator or administrative experience.
- Strong written and verbal communication skills.
- Requires the ability to be flexible, work independently, and maintain a high level of confidentiality.
- Must be a team player, self-starter, able to manage multiple tasks and meet deadlines.
- Proficient in Word, Excel, PowerPoint, and Outlook.
- Must present a professional image.
