Job description

Position Overview
The Office Services Coordinator is responsible for maintaining the daily operations of coffee services and kitchen supplies at Echo Global Logistics. This role requires a customer-first attitude, ensuring an exceptional experience for all employees and guests by delivering excellent customer service, maintaining a clean and well-stocked environment, and adhering to Echo's operational policies and procedures. The ideal candidate will have strong communication skills, a calm demeanor under pressure, and the ability to manage multiple tasks efficiently.
Job Duties & Responsibilities
Operational Excellence
  • Follow Echo's operational policies, promoting the company's culture, values, and mission.
  • Maintain punctual attendance and a calm demeanor during high-volume periods to ensure smooth coffee services.
  • Serve as the face of our in-house coffee bar by crafting handcrafted espresso beverages and seasonal drinks with consistency and attention to detail.
  • Develop creative drink recipes, rotating seasonal menus, and unique beverage promotions that encourage employee engagement and elevate the office experience.
  • Take pride in creating a warm, welcoming café atmosphere where employees and visitors enjoy exceptional service and quality beverages.

Customer Service
  • Provide exceptional customer service with a customer-first attitude.
  • Create and process replacement badges, and handle transactions for badges, postage stamps, and specialty coffee drinks using the POS system.
  • Share timely updates about café services, menu offerings, and promotions through Viva Engage.

Reception Coverage
  • Be present at the first-floor reception desk on Mondays and Fridays.
  • Cover breaks and PTO at the front desk on Tuesday, Wednesday, and Thursday.
  • Greet people, notify employees of guest arrivals, direct food deliveries and vendors, and stock any necessary supplies.

Inventory & Equipment
  • Maintain inventory, place orders, and receive deliveries for coffee and kitchen supplies.
  • Contact providers for machine maintenance and ensure all equipment is in working order.
  • Keep supply storage areas clean and organized.

Coffee & Kitchen Management
  • Stock and maintain coffee stations, kitchenettes, and cafeterias with necessary supplies.
  • Clean coffee bar equipment and run Eversys cleaning cycle daily.
  • Deep clean Eversys and Marco machines weekly.
  • Create and document drink recipes for specialty coffee offerings to maintain consistency and quality.

Collaboration
  • Communicate with the Facilities team about workload and operational issues to ensure seamless service.
  • Be cross-trained on facilities tasks, including receiving and distributing packages, entering service tickets for janitorial and maintenance issues, and assisting with setting up and breaking down for special events. While these are not primary responsibilities of the Office Services Coordinator role, you may occasionally assist the Facilities team during busy periods or to cover PTO.
  • Perform other operational, administrative, and project-related duties as assigned, consistent with the needs of the business.

Required Qualifications
  • High school graduate or equivalent. College degree preferred or equivalent work experience.
  • Coffee barista, bartending, or similar experience necessary.
  • Strong customer service skills with the ability to maintain a calm and professional demeanor in busy environments.
  • Effective communication skills and ability to work collaboratively with the Facilities team.
  • Ability to follow health and safety guidelines.
  • Experience in a similar role or a fast-paced service environment is a plus.

Work environment/physical demands summary
This job operates in an office environment and uses a computer, telephone and other office equipment as needed to perform duties. The noise level in the work environment is typical of that of an office with an open seating floor plan. The employee may encounter frequent interruptions throughout the workday. The employee is regularly required to sit, talk, or hear. As well, the job requires physical activity such as lifting, moving, and installing coffee and office supplies and equipment. You need to be able to stand for prolonged periods of time and walk long distances.
