What this job involves

We are looking for a Sales Coordinator to join our Brokerage Operations team. You will provide high level support to commercial real estate brokerage producers within our San Jose office. You will have the opportunity to engage in a well-rounded list of contributions for the team, which will include: administrative, financial, marketing, operational and office functions for the business. We offer a fun, fast-paced, collaborative, dynamic and inclusive environment. This role provides a unique opportunity with exposure to all aspects of the business by partnering with brokers, research, marketing, finance, and coordinators to help in the overall success of the office.

Business Operations

  • Gathermarket research information to create client deliverables such asmarket surveys, tour books, competitive sets
  • Prepare documents including Request for Proposals, Letters of Intent, customer and prospect correspondence,leasing statusreports, etc. with direction from brokers and/or knowledge of company policies,procedures,and best practices
  • Update & maintain company Contact Relationship Management (CRM) database to track prospects, clients, and deal information
  • Manage all listings on brokerage listing services including but not limited to CoStar and Loopnet
  • Track andhave knowledge of JLL technologies,maintainaccess to resources

Marketing

  • Prepare property marketing flyers, brochures, and emaildistributions
  • Create and edit presentations,pitches, and client deliverables for prospect/client meetings with PowerPoint, AdobeInDesignand Microsoft Software
  • Assist and participatein planningas needed for industry functions or client eventsand open houses
  • Update andmaintainbroker professional profiles and other team marketing related material as needed

Finance

  • Trackandprocessbrokerexpensereportsaccording to the JLL T&E policy

Administrative

  • General duties such as printing, binding, scheduling meetings, greeting clients, conference room set up, brokerIT support, making travelarrangements

OfficeCoordination:

  • Greet/host/provide front desk support for guests,visitors,and employees
  • Office maintenance(i.e.: pick up and display newspapers, load/unload dishwasher, coffee machine maintenance, etc.)
  • Maintain all conference rooms for cleanliness, coordinate reservations, including ordering and/or setupof food
  • Order,maintainand organize all kitchen and office supplies
  • Coordinateparking, badging, and conferencerooms.
  • Assistswith the coordination and scheduling of office/building maintenanceactivities.
  • Point of contact for all packages/deliveries
  • Pick-up, drop-off, prepare postage/labels for mail/UPS/FedEx, courier services, etc.

Experience and qualifications

  • 1-3 years of experience in administrative, operations, or coordinator roles, preferably supporting multiple stakeholders in commercial real estate or professional services
  • Bachelor's Degree preferred, but notrequired
  • High levelofproficiencyand working knowledge of Microsoft Word, Excel, Power Point, Outlookrequiredand familiarity with Adobe Software such as InDesign and Photoshop
  • Work enthusiastically in a team atmosphere, promoting collaboration and idea sharing verbally and through action
  • Strong organizational, interpersonal and communication skills
  • Strong ability to multi-task with multiple projects and deadlines in a "high-volume" fast paced environment
  • Strong proofreading and editing abilities
  • Ability to manage time well and be self-motivated, without direct supervision
  • Strong client service orientation; proactive working styleand friendly, helpful attitude
  • Commitment to high professional ethical standards

Physical Requirements

  • Ability to lift and carry up to 20-25 pounds (boxes of supplies, marketing materials, packages, catering delivery)

Estimated compensation for this position:

70,000.00 - 75,000.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
