Position Summary:

The CMMS Coordinator is responsible for the effective administration, scheduling, and coordination of maintenance activities through the Computerized Maintenance Management System (CMMS) in support of Facilities, Cranes and Inventory Departments. This role ensures all preventive and reactive maintenance tasks are planned, scheduled, and executed efficiently, working closely with internal teams and external contractors. This position will also manage data entry into the CMMS, maintain equipment log structure, assist in training and building of tools for use of system. Preserve integrity of data sustaining KPIs impacting maintenance department (downtime causes, equipment availability, vendor account status, etc.) and contribute to the development and continuous improvement of standard operating procedures (SOPs). Utilizes analytical skills and critical thinking to improve departmental performance.

Key Responsibilities/Duties:

CMMS Administration:

  • Manage the CMMS, ensuring accurate data entry, timely updates, and proper documentation of maintenance activities.
  • Input and maintain preventive maintenance (PM) schedules, ensuring alignment with operational needs and regulatory requirements.
  • Generate and analyze CMMS reports to track maintenance performance, identify trends, and recommend improvements.
  • Work with Fleet Manager to manage the asset tagging and tracking program within the CMMS system including processing of new equipment forms and tagging of assets.

Maintenance Scheduling and Coordination:

  • Schedule and coordinate preventive and reactive maintenance tasks with internal teams and external contractors.
  • Prioritize and allocate resources effectively to ensure timely completion of maintenance activities.
  • Maintain spare parts inventory and track expenses for regular budget review

Compliance and Documentation:

  • Ensure all maintenance activities, inspections, and repairs are documented accurately in the CMMS.
  • Assist in the commissioning, qualification, and validation of new equipment as needed.
  • Author and review SOPs related to maintenance and facility operations.
  • Aid in deviation investigations, ensuring thorough documentation and analysis of root causes.
  • Review PM programs regularly to identify opportunities for improvement.

Support Functions:

  • Support the maintenance of equipment and the management of spare parts inventory.
  • Analyze planning data to define manpower, parts and other resources required to meet terminal demands
  • Perform a variety of activities in planning, scheduling, and documentation, including reports and presenting findings
  • Develop CMMS tool to meet department demands, including maintaining accurate and prompt data collection
  • Perform analysis of workload, staff allocation and material resources by developing flexible forecasting tools
  • Develop methods of tracking operational costs for container and general cargo facilities.
  • Assist in budget preparation and monitoring of department expenses with Maintenance Managers of container and general cargo facilities; analyze and report variances in expense on a monthly and quarterly basis; provide information on developing trends.
  • Design dashboards, forms, and reports that capture key performance indicators (KPI's)and identify key trends to assist in establishing proactive solutions to drive improved performance
  • Review and recommend short- and long-term plans and courses of action; ensure planned project needs are properly budgeted and delivered on time
  • Assemble detailed spreadsheets, charts, and graphs to illustrate technical reports; analyze data and reports to provide accurate and timely recommendations to management for decision-making purposes
  • Work closely with project management teams and other support staff to monitor terminal projects
  • Participate in Master Plan development for container and general cargo facilities
  • Promote the organization's safety culture and participate with monthly safety audits

Education/Experience:

  • Bachelor's degree in computer science, Information Technology, Business Administration, or related major in a public or accredited private academic institution required
  • Minimum of 2 years' experience coordinating and maintaining asset inventory utilizing a computerized maintenance management system in a healthcare facility or related business environment
  • Experience in data analysis in the facilities maintenance program, specifically in asset management, equipment failure analysis and/or spare part optimization.
  • 2+ years related terminal equipment knowledge preferred
