Construction Warranty & Closeout Manager

Our client is seeking an experienced Construction Warranty & Closeout Manager to oversee post-construction warranty operations, turnover activities, and closeout processes for multifamily residential developments throughout South Florida.

This individual will serve as the primary liaison between ownership, property management, subcontractors, consultants, and construction teams to ensure successful project turnover, TCO-to-CO completion, warranty administration, and resident support following occupancy.

The role will be responsible for managing high-volume multifamily communities at scale, ensuring smooth transition from construction completion through final Certificate of Occupancy, and maintaining long-term quality and warranty performance across occupied units.

Key Responsibilities
  • Manage all warranty requests and service tickets.
  • Review warranty claims to determine coverage and responsibility.
  • Track warranty issues from initiation through completion.
  • Maintain accurate records of claims, repairs, costs, and resolutions.
  • Ensure compliance with builder warranty standards and applicable regulations.
  • Act as the primary point of contact for all properties and the designated property manager regarding warranty concerns.
  • Conduct orientation and warranty education meetings.
  • Respond promptly to customer inquiries and complaints.
  • Maintain high levels of customer satisfaction throughout the warranty process.
  • Manage difficult situations professionally and diplomatically.
  • Perform all required inspections to evaluate reported deficiencies.
  • Coordinate with all required subcontractors to evaluate the warranty request and determine the required approach to address the warranty request.
  • Determine whether issues are warranty-related, maintenance-related, or owner-caused.
  • Document findings with photographs and written reports.
  • Conduct scheduled warranty inspections as required.
  • Schedule and coordinate warranty repairs with trade partners.
  • Monitor subcontractor performance and responsiveness.
  • Verify repairs are completed correctly and on time.
  • Negotiate responsibility for repair costs when appropriate.
  • Maintain relationships with vendors and subcontractors.
  • Identify recurring construction defects and trends.
  • Provide feedback to construction and operations teams to improve quality.
  • Recommend process improvements to reduce warranty claims.
  • Assist with dispute resolution and claim prevention.
  • Prepare warranty status reports for management.
  • Track key performance indicators (KPIs), including:
    • Open warranty claims
    • Average response time
    • Average resolution time
    • Customer satisfaction scores
  • Coordinate with the warranty team to properly maintain warranty databases.
Minimum Qualifications Experience
  • 5+ years of construction experience, with a strong preference for multifamily residential projects (apartments, condominiums, or mixed-use developments).
  • Direct experience in warranty, closeout, turnover, or post-construction operations within occupied or high-density residential environments.
  • Proven experience supporting multifamily projects through the TCO-to-CO process, including punch list resolution, inspections, and final occupancy coordination.
  • Experience managing or supporting large-scale residential portfolios (500+ units strongly preferred; 2,000+ units ideal).
Skills
  • Strong understanding of multifamily building systems, construction methods, and post-occupancy operations.
  • Experience coordinating with property management teams, owners, consultants, and subcontractors in an active occupancy environment.
  • Knowledge of construction closeout documentation including O&M manuals, as-builts, warranties, and turnover packages.
