Senior Accounts Payable Specialist

Location: Hackensack, NJ – Onsite

Lola Products and Clip Strip Corp are family-owned consumer products and retail store fixture businesses with a history dating back to 1969. We sell branded and private-label products through major retailers, distributors, ecommerce marketplaces, and direct-to-consumer channels.

Position Overview

We are seeking an experienced, detail-oriented Accounts Payable Specialist to manage day-to-day accounts payable activities for both Lola Products and Clip Strip Corp.

This is a hands-on accounting position requiring strong attention to detail, organization, follow-through, and comfort working with modern accounting and business systems. The position will work extensively in NetSuite and will be responsible for ensuring vendor invoices, approvals, payments, reconciliations, and related records are processed accurately and on time.

Responsibilities

  • Process and enter vendor invoices accurately and timely in NetSuite.
  • Review invoices for proper coding, documentation, approvals, pricing, and discrepancies.
  • Match invoices to purchase orders and receiving information where applicable.
  • Maintain vendor accounts and investigate invoice, payment, credit, and statement discrepancies.
  • Prepare and process vendor payments in accordance with company payment schedules and controls.
  • Reconcile vendor statements and follow up on outstanding items.
  • Process vendor credits, deductions, and adjustments.
  • Maintain accurate accounts payable records and supporting documentation.
  • Assist with credit card and other account reconciliations as assigned.
  • Review accounts payable aging and help ensure liabilities are properly recorded.
  • Assist with month-end and year-end closing procedures, including AP reconciliations and accrual support.
  • Communicate professionally with vendors and internal departments regarding invoice and payment issues.
  • Assist with maintaining vendor information, including payment and tax documentation.
  • Support improvements to AP processes, automation, workflows, and internal controls.
  • Work with management and other accounting personnel on additional accounting projects and responsibilities as needed.

Qualifications

  • Prior hands-on accounts payable experience.
  • Strong understanding of AP processes, invoice processing, vendor reconciliations, and payment procedures.
  • Experience with an ERP/accounting system; NetSuite experience strongly preferred.
  • Strong Microsoft Excel and general computer skills.
  • Ability to learn and work efficiently with multiple software platforms and paperless workflows.
  • Strong attention to detail and commitment to accuracy.
  • Excellent organizational and time-management skills.
  • Ability to prioritize a high volume of transactions and follow issues through to completion.
  • Strong written and verbal communication skills.
  • Ability to work independently while also working effectively with the accounting and operations teams.

Preferred Experience

  • NetSuite accounts payable experience.
  • Bill.com or similar AP automation/payment platform experience.
  • Experience working for a product-based, distribution, wholesale, retail, or ecommerce company.
  • Experience with purchase-order-based invoice matching.
  • Experience supporting month-end close and general ledger reconciliations.
