Overview

The Clinic Manager is responsible for the overall administrative and operational management of the clinic, ensuring efficient workflows, strong team performance, exceptional patient experience, and achievement of business objectives. This role provides leadership for day-to-day practice operations, staff management, process improvement, and compliance with organizational policies and applicable regulatory requirements.
The Clinic Manager partners closely with providers, regional leadership, and support departments to optimize clinic performance, enhance operational efficiency, and foster a positive workplace culture.
Responsibilities
1. Practice Operations Management
  • Oversee daily clinic operations to ensure efficient workflow, patient access, and smooth office functioning.
  • Manage provider and staff scheduling in partnership with leadership to support operational needs and patient demand.
  • Monitor patient flow and implement operational improvements to enhance efficiency and service delivery.
  • Ensure clinic readiness, including facility organization, supply availability, and operational support needs.
  • Collaborate with centralized departments including billing, credentialing, scheduling, human resources, and marketing.

2. Team Leadership & Staff Management
  • Hire, onboard, train, coach, and supervise administrative and operational staff.
  • Conduct performance evaluations, coaching conversations, and ongoing staff development.
  • Address employee concerns, attendance issues, performance expectations, and workplace behavior in accordance with company policy.
  • Promote accountability, teamwork, professionalism, and a positive clinic culture.
  • Support change management initiatives and communication of organizational updates.

3. Patient Experience & Service Excellence
  • Champion an exceptional patient experience throughout all touchpoints of the practice.
  • Resolve patient complaints, service concerns, and escalated issues in a timely and professional manner.
  • Implement service improvement initiatives to enhance satisfaction, retention, and reputation.
  • Monitor access metrics, scheduling efficiency, and operational barriers impacting patient experience.

4. Business Performance & Financial Oversight
  • Monitor key performance indicators including revenue, staffing efficiency, productivity, and operational performance.
  • Support achievement of clinic financial goals through labor management, expense awareness, and operational optimization.
  • Partner with regional leadership on growth initiatives, staffing plans, and performance improvement strategies.
  • Assist with budget stewardship, inventory expense oversight, and resource allocation.

5. Compliance & Administrative Leadership
  • Ensure adherence to company policies, required training, and applicable regulatory standards.
  • Maintain operational documentation, audit readiness, and administrative compliance requirements.
  • Support implementation of organizational initiatives, workflows, and operational best practices.
  • Partner with compliance and clinical leadership as needed on regulatory matters.

6. Continuous Improvement
  • Identify operational inefficiencies and implement solutions to improve effectiveness.
  • Lead workflow redesign, process standardization, and operational excellence initiatives.
  • Track operational performance metrics and recommend strategic improvements.

7. Other Duties
  • Perform additional duties as assigned to support business and operational needs.

Qualifications
EDUCATION & EXPERIENCE
  • Bachelor's degree in healthcare administration, business administration, management, or related field preferred.
  • Minimum 3+ years of healthcare operations, ambulatory practice management, or physician practice leadership experience preferred.
  • Dermatology, surgical specialty, or multisite healthcare operations experience preferred.
  • Prior leadership experience managing teams in a fast-paced healthcare environment required.
