Position: Client Services Coordinator
Location: Brighton, MI
Pay: 40K+ based on experience
Schedule: Monday–Thursday, 8:30 AM–5:30 PM; Friday, 8:30 AM–5:00 PM

Position Summary:

The Client Services Coordinator is the person who makes that promise real day to day — the friendly first impression, the steady hand behind the calendar, and the detail-checker who makes sure every document tied to our Proud Life & Legacy Plan™ is right before it reaches a client’s hands. This is a role for someone who takes ownership of the details so their advisors and attorneys can stay focused on the decisions that matter most.

Key Responsibilities:
Client Service & Communication
  1. Serve as the first voice and first face clients encounter, answering phones, greeting visitors, and responding to emails with warmth and professionalism.
  2. Make every client feel like the name on the door is there because of them, carrying forward the small, thoughtful touches our client is known for.
  3. Route client inquiries to the right team member promptly, ensuring nothing falls through the cracks.
  4. Handle sensitive client and family information with the discretion and care that trust-based relationships require.
Scheduling & Advisor Support
  1. Manage and coordinate calendars across advisors, keeping appointments, reviews, and internal meetings running on schedule.
  2. Prepare meeting materials and confirm logistics ahead of client appointments so every meeting starts on time and fully prepared.
  3. Support advisors and attorneys with day-to-day administrative needs so they can stay focused on client-facing work.
Document Preparation
  1. Prepare and proof financial and legal documents with a sharp eye for detail.
  2. Maintain client files, both electronic and physical, ensuring they are complete, current, and organized.
  3. Update and maintain client records in the firm’s CRM system, keeping information accurate and easy for the team to act on.
Follow-Up & Office Operations
  1. Stay on top of outstanding follow-ups across the office so nothing slips through the cracks.
  2. Support the team in maintaining the workflows and templates that make the client experience consistent every time.
  3. Bring a sense of ownership to the role — noticing what needs to be done and acting before being asked.
Qualifications
  1. Associate degree or above required.
  2. Experience in administrative, legal, or financial services support.
  3. Strong written and verbal communication skills with a professional, client-first presence.
  4. Proficiency with Microsoft Office and comfort learning new systems and CRM platforms.
  5. Ability to handle confidential client and legal information with discretion.
  6. Highly organized, proactive, and detail-oriented, with the ability to manage multiple priorities without dropping the ball.
  7. Must live within 30 minutes of Brighton, MI.
