Job Summary
The CSS serves as the primary operational contact for clients and provides exceptional service by supporting advisors throughout the client relationship. The CSS is responsible for account administration, client onboarding, account maintenance, cash management requests, and ensuring all client interactions are handled accurately, professionally, and in accordance with SEC regulations and firm policies.
This position will also share responsibility for greeting and directing clients and other visitors; for screening and routing telephone calls and performing a variety of other office duties.
The ideal candidate is highly organized, detail-oriented, client-focused, and capable of managing multiple priorities while maintaining confidentiality and regulatory compliance.
Duties and Responsibilities
Client Relationship Support
⮚ Deliver outstanding service to clients by phone, email, and in person.
  • Serve as the first point of contact for routine client service requests.
  • Build and maintain positive client relationships consistent with the firm's fiduciary duty.
  • Respond promptly to client inquiries and coordinate follow-up with advisors.
  • Schedule client review meetings.
  • Maintain accurate client records and documentation.

New Account Processing
  • Coordinate the onboarding process for new clients.
  • Prepare and process new account paperwork.
  • Assist clients with account documentation and electronic signature processes.
  • Monitor account opening status and resolve outstanding items.
  • Verify all required documentation has been received before submission.

Account Maintenance
Process client requests including:
  • Beneficiary updates
  • Address and contact information updates
  • Account registrations
  • Money movement between internal and external accounts
  • Trust and estate documentation
  • Ensure compliance with internal controls and fraud prevention policies

CRM and Data Management
Maintain accurate client records within the firm's CRM, including:
  • Contact information
  • Household relationships
  • Notes
  • Service requests
  • Document management

Qualifications
Education
  • Associate's or Bachelor's degree preferred.
  • Equivalent financial services experience considered.

Experience
  • 2-5 years of client service or operations experience in: Registered Investment Advisor (RIA)
  • Wealth Management Firm
  • Broker-Dealer

Work Environment
This position operates in a professional office environment and requires frequent interaction with clients, advisors, custodians, and operations personnel. The CSS is expected to represent the firm with professionalism and uphold the fiduciary standards expected of an SEC Registered Investment Advisor.
Salary and Benefits
Compensation
Salary will be commensurate with experience (80% base and 20% production). The production component simply means this portion fluctuates quarterly (it is not a bonus, per se) proportionate to our top-line revenues, which are communicated to you. We financially encourage a "client-first" culture, focusing on teamwork vs. individual production.
You will also be eligible for up to an additional $5,000 annually in incentive bonuses based on objective goals for you individually.
Retirement Plan
We currently match 150% of the first 6% of your 401(k) contributions, and often make annual, discretionary contributions to our Profit Sharing Plan. There is a 5-year vesting schedule on any employer contributions.

Paid Personal Days
15 paid days annually (includes sick days).
