We have an exciting opportunity for a Client Service Associate / Client Service Manager! In this critical role, you will drive a culture of exceptional service within our team, providing outstanding support to clients, external partners, and internal advisors. You will play a key part in building long-term relationships, delivering operational excellence, and supporting both individual and team growth in a dynamic and collaborative environment. This position offers the potential for career advancement and future management responsibilities.
This role is an On-site position.

Primary Job Functions
Reception and Office Support
  • Greet clients and ensure the office environment is clean and welcoming
  • Schedule meetings with product vendors and sponsors
  • Manage and distribute incoming and outgoing mail, including overnight deliveries
  • Order office marketing materials and coordinate printer supplies and maintenance with vendors and Technology

New Client Onboarding
  • Ensure accurate completion of prospect and new client paperwork and set up
  • Follow up on funds transfers from surrendering companies
  • Maintain CRM database and client files, including filing, copies, and data input
  • Research and resolve any issues with Broker/Dealer, WEG Operations, or vendors
  • Record incoming assets using the appropriate blotting tool

Client Relationship Management
  • Engage with clients to understand their personal history and current financial needs
  • Prepare account transactions including trades, deposits, withdrawals, and required minimum distributions
  • Communicate directly with clients to resolve requests or coordinate with advisors as appropriate, including handling death claim processing
  • Liaise with clients' tax or legal counsel as needed

Client Review Preparation and Follow Up
  • Gather client data and prepare materials for client meetings and reviews
  • Conduct tax research (e.g., 1099s)
  • Complete client review follow-up actions

Industry, Product, and Company Knowledge
  • Demonstrate knowledge and accurate execution of WEG's Suitability Guidelines, operational processes, and sales model
  • Possess a strong understanding of financial terminology and products, including annuities, mutual funds, separately managed accounts, fixed income, stocks, options, alternative investments, hedge funds, and charitable giving practices
  • Attend Client Service and company educational events and vendor presentations

Team and Corporate Support
  • Mentor and train Client Service Associates as needed
  • Assist Advisor Team Operations to streamline processes
  • Complete operational projects to support enhancements and changes
  • Communicate process and sales updates to the team
  • Participate in WEG-offered sessions, such as Micro Monday, ATO Answers, Client Service Community, and RoundTable LIVE
  • Manage vendors to established Service Level Agreements
  • All other duties as assigned.

Education/Qualifications
  • Bachelor's degree (or equivalent experience) in business, finance, economics, or a related field
  • Minimum of 3-5 years of industry experience (including at least 1 year at WEG performing as a Client Service Associate for manager-level consideration)
  • Customer service training, knowledge, or experience
  • Ability and interest to learn financial concepts and products
  • Ability to work with deadlines, adapt under pressure, and prioritize work
  • Ability to work effectively as part of a team
  • Ability to train new employees as needed and mentor team members
  • Strong attention to detail and problem-solving skills
  • Excellent oral and written communication skills
  • Proficiency with Microsoft Office Suite and Salesforce; experience with Workday preferred

WEG hires employees and makes decisions about their salary qualifications based on factors such as the role to be performed; educational and professional experience, qualifications, skills and credentials; tenure, cost-of-living and demand for the role in the applicable market. To comply with state, pay transparency laws, we must disclose the entire salary grade. The entire salary grade for those who are classified as this level is $42,500 - $126,000. However, the base salary range bolded above ($60,000 to $90,000) is what we expect to pay as a starting range for this position.
