Job description

Responsibilities and Duties:

  • Supervises daily practice operations and manages finances such as payroll, billing, debt collections, security, and occupational health and safety.

  • Schedules appointments, maintains records, and accounts for clients

  • Comforts patients by anticipating patients’ anxieties, answering patients’ questions, and maintaining the reception area.

  • Collaborates with Physicians to develop business protocols and patient services acting as liaison to The Vanity Mode business owners.

  • Maintains business office inventory and equipment by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, verifying receipt of supplies, and scheduling equipment service and repairs

  • Obtains revenue by recording and updating financial information, recording and collecting patient charges, controlling credit extended to patients, and filing, collecting, and expediting third-party claims.

  • Coordinate regular staff meetings and performance reviews.

  • Ensure policies and best practices are up to industry standards and government regulations.


 

Qualifications:

  • Education: Associates or Bachelor’s Degree in Finance, Business, or Human Resources is preferred, but not required

  • Experience: 6 months - 1 year in customer service, some experience in finances/payroll is required

  • Specific skills: Knowledgeable in Quickbooks, ADP, Aesthetic Records, PocketSuite, Excel, Word, and Google Drive. 

  • Personal characteristics: Great, professional communication and writing skills, team-oriented, friendly interpersonal skills, business-minded and great awareness of tasks at hand, professional, clean appearance required

  • Physical abilities: Ability to lift boxes of no more than 10 lbs, ability to sit for more than 2 hours, ability to walk up and down stairs
