Join GardaWolrd as a Program Coordinator!
We're looking for an organized, proactive Program Coordinator to support a growing multi-site security operations account. This is a vendor role that works closely with client security operations leadership and the account team.
The role is a blend of three things: administrative and executive-style coordination, reporting and analysis, and light project management. You keep the day to day organized, you build and run the trackers and reports that give leadership visibility, and you drive workflows and follow-through in a quasi-PM capacity.

Your Responsibilities as a Program Coordinator
  • Coordinate daily workflows, calendars, meetings, and follow-ups for the account team and client security operations leadership
  • Track action items, deliverables, and initiatives so nothing slips
  • Maintain organized documentation, shared drives, trackers, and records
  • Support staffing coordination, scheduling, and logistics
Reporting, Tracking & Light Project Management
  • Build and maintain trackers for staffing, vendor deliverables, incidents, action items, and readiness activities
  • Produce regular reports, memos, and executive-ready summaries for leadership visibility
  • Own workflows and timelines in a quasi-PM capacity: keep initiatives moving, flag risks, and drive follow-through
  • Support invoice coordination, billing, and data organization

Vendor & Stakeholder Coordination
  • Coordinate between the account team, vendor account managers, client security leadership, and internal partners
  • Support vendor onboarding, document collection, compliance tracking, and follow-up
  • Keep consistency across sites and partners
Communication & Documentation
  • Draft professional communications, summaries, meeting notes, and follow-ups
  • Prepare presentations, trackers, and spreadsheets
  • Handle sensitive information with discretion
Cross-Functional & Growth Support
  • Support launches, transitions, onboarding, and special projects as the account scales
  • Flag workflow inefficiencies and build better standards
  • Keep priorities, communication, and processes aligned across teams

Your Qualifications:
  • Strong working knowledge of Google Workspace (Docs, Sheets, Slides)
  • A blend of administrative/executive coordination, reporting and analysis, and light project management; you can run all three
  • Experience building workflows and trackers and producing clear reports, memos, and executive-ready materials
  • Strong organization, follow-through, and ownership across multiple priorities at once
  • Excellent written and verbal communication, with discretion around sensitive information
  • Experience with WinTeam and Workday, or the ability to learn them quickly
