We are seeking an Executive Assistant who is passionate about supporting executive leadership while creating memorable client experiences that reflect the JAQUE brand.


Position Overview

The Executive Assistant Client Experience serves as the trusted right hand to the Founder, providing high-level executive, personal, and client-facing support. This role is responsible for managing executive priorities, coordinating schedules and travel, supporting personal and business commitments, and ensuring every interaction with clients, partners, and guests reflects the luxury standards of JAQUE.


This position requires exceptional organizational skills, discretion, emotional intelligence, professionalism, and the ability to anticipate needs before they arise. The ideal candidate is polished, resourceful, highly responsive, and thrives in an environment where priorities shift quickly and no two days are the same.


This position works closely with the Executive Assistant Operations. While each role has distinct areas of ownership, both Executive Assistants collaborate daily, provide cross-coverage when needed, and work together to ensure seamless support for executive leadership and the organization.


What You'll Do

Executive Support

  • Manage complex executive calendars, appointments, meetings, and scheduling.
  • Coordinate executive priorities and protect the Founder's time.
  • Prepare meeting agendas, presentations, reports, and executive correspondence.
  • Organize incoming communications and ensure timely follow-up.
  • Track action items, deadlines, and executive initiatives.
  • Anticipate needs and proactively solve scheduling and logistical challenges.
  • Maintain the highest level of confidentiality and discretion.

Personal Executive Assistance

  • Coordinate personal appointments, reservations, travel, and scheduling.
  • Assist with personal administrative tasks and special requests.
  • Manage personal and professional commitments to ensure seamless organization.
  • Support executive travel planning, itineraries, dining reservations, and logistics.
  • Assist with special events and executive appearances.

Client Experience & Hospitality

  • Serve as a welcoming and professional point of contact for clients, prospective clients, and VIP guests.
  • Coordinate luxury client meetings, showroom visits, and design consultations.
  • Ensure clients receive exceptional communication, responsiveness, and service throughout their experience.
  • Prepare meeting spaces, hospitality arrangements, gifts, and client materials.
  • Support executive communications with clients and maintain strong client relationships.
  • Help create a white-glove client experience that reflects the JAQUE brand.

Travel & Event Coordination

  • Coordinate executive travel, accommodations, transportation, and detailed itineraries.
  • Support conferences, speaking engagements, networking events, photoshoots, and company functions.
  • Adapt quickly to changing schedules and travel priorities.

Administrative Support

  • Maintain organized executive files and records.
  • Prepare contracts, documents, presentations, and correspondence.
  • Coordinate executive meetings and company events.
  • Assist with special projects and company initiatives.
  • Support executive expense reporting and administrative tasks.

Team Collaboration

  • Partner closely with the Executive Assistant Operations to ensure seamless executive support.
  • Maintain consistent communication regarding priorities, schedules, and deadlines.
  • Provide cross-coverage during travel, absences, or high-volume periods.
  • Work collaboratively to ensure continuity across executive, client, and business operations.


What We're Looking For

  • 5+ years of Executive Assistant experience supporting founders, executives, or C-suite leadership.
  • Experience working in luxury hospitality, luxury interior design, architecture, real estate, lifestyle management, concierge services, or another high-touch client service environment is strongly preferred.
  • Exceptional written and verbal communication skills.
  • Outstanding organizational and time-management abilities.
  • Proven ability to manage multiple priorities while maintaining accuracy and professionalism.
  • Strong interpersonal skills with the ability to build relationships with clients, vendors, and executive leadership.
  • High level of discretion, professionalism, and emotional intelligence.
  • Advanced proficiency with Google Workspace and business communication platforms.
  • Valid driver's license and ability to travel as business needs require.
